The role: We are adding a Sales Administration Lead to our team in Kitchener, ON. This posting is for an existing vacancy. In this role, you will partner closely with the Regional Manager to support the day-to-day operations of the location while leading administrative processes that keep our business running efficiently. You will help deliver an exceptional client experience, guide process improvements, support team development, and ensure operational workflows are accurate, organized, and client-focused.

Requirements

  • Experience working in a fast-paced office or customer-facing environment where balancing multiple priorities is second nature.
  • Highly organized, deadline-driven, and comfortable managing competing demands throughout the day.
  • Proficient in Microsoft Office Suite.
  • Confident learning new software and databases.
  • Interested in building knowledge within the healthcare and mobility industry.
  • Ability to build strong relationships with clients and colleagues through empathy, professionalism, and excellent communication.
  • Ability to remain calm under pressure and comfortable responding to inquiries in person, over the phone, and by email—often simultaneously.
  • Enjoyment in supporting others, collaborating across teams, and finding solutions that create positive outcomes.

Responsibilities

  • Enhancing the customer experience by meeting client needs on-site, over the phone, and via email.
  • Using Microsoft Dynamics Nav to identify inefficiencies and improve workflow.
  • Planning training and development sessions for the site team and oneself.
  • Leading process improvement by developing and tracking KPIs that align with location targets.
  • Overseeing and upholding process development and training for Technicians, Client Care Coordinators, and Sales Administrators.
  • Becoming a subject matter expert in the internal inventory system.
  • Managing workflow and ensuring accounts receivable follow-up.
  • Managing all details of client service to ensure timing, information, and expectations are accurate, transparent, and communicated to all parties involved.
  • Following up with clients and internal employees to confirm all paperwork, such as rental agreements, quotes, and client records, are complete and accurate.
  • Coordinating and collaborating with colleagues to ensure accurate and timely processing of orders, quotes, payments, etc.
  • Working closely with the Warehouse Lead to ensure inventory is up to date.
  • Supporting a positive work culture.
  • Supporting the site Regional Manager in areas that need attention and carrying out the work needed to support site operations.
