Reporting to the Manager, Health & Safety, the Safety Administrator is responsible for providing day-to-day administrative support to the Safety Manager and ensuring the smooth operation of safety-related documentation and processes.

Requirements

  • 2+ years of progressive project administration experience, preferably within construction or civil industrial environments
  • Strong ability to read and interpret specifications and project documentation
  • Excellent organizational skills with high attention to detail and the ability to manage competing priorities
  • Strong interpersonal and communication skills, with the ability to work effectively with both field and office teams
  • Valid Class 5 Driver’s License with a Driver’s Abstract showing no more than 6 demerits and no major infractions
  • Pre-employment Drug and Alcohol Testing and Fit for Work Testing will be required.

Nice To Haves

  • Post-secondary education in a related field (e.g., Business Administration, Accounting, Engineering Technology) is an asset
  • Proficiency with Microsoft Office and experience with software such as InEight, Microsoft Dynamics 365, and Bluebeam is an asset

Responsibilities

  • Provide day-to-day administrative support to Safety Manager
  • Coordinate and maintain project documentation, ensuring consistency with contractual requirements and internal procedures
  • Support document control processes including QA/QC records, safety documentation, training records, statistics for managers meetings, compliance documentation, and project correspondence
  • Assist purchasing and cost control documentation
  • Maintain ongoing communication with department teams to identify administrative needs and recommend process improvements
  • Participate in Contractor Safety Committee meetings by coordinating logistics, ordering lunches, recording meeting minutes, and assisting with Safety Gram updates
  • Coordinate and schedule employee safety training programs to ensure compliance with company and project requirements
  • Maintain and update the training matrix to accurately track employee certifications, qualifications, and training records
  • Assign and manage required training through ADP Learning Management System (LMS)
  • Coordinate new workers with safety personnel to support onboarding
  • Maintain and administer ISNetworld (ISN) and Avetta contractor management platforms, ensuring accurate compliance documentation
