About The Position

Related Ross is seeking a Property Manager to lead the operations of CityPlace, a mixed-use asset consisting of Retail, Commercial Office, and Residential components. This role is responsible for maximizing the operational performance, financial results, and long-term value of the asset through strategic leadership of all aspects of property operations, tenant and stakeholder relations, capital improvements, vendor management, and regulatory compliance. The ideal candidate will balance ownership objectives with tenant needs, provide leadership to staff and contractors, and deliver an exceptional experience for tenants and visitors while continually enhancing the property’s position as a premier destination. The candidate will also foster a collaborative, service-oriented culture that emphasizes accountability, communication, continuous improvement, and operational excellence. CityPlace is a dynamic shopping, dining, and entertainment destination located in the heart of downtown West Palm Beach. Requirements

  • Bachelor's degree in Real Estate, Property Management, Finance, or a related field preferred.
  • Minimum of five (5) years of experience managing retail or mixed-use commercial assets.
  • Knowledge of commercial property operations, capital projects, contract administration, and vendor management.
  • Strong financial acumen, including budgeting, forecasting, variance analysis, and expense management.
  • Working knowledge of commercial leases.
  • Ability to manage multiple priorities in a fast-paced environment while balancing operational, tenant, and financial objectives.
  • Demonstrated leadership skills with the ability to manage staff, contractors, and vendors while building strong relationships across internal departments.
  • Strong negotiation, problem-solving, and decision-making skills.
  • Outstanding written and verbal communication skills.
  • Proficiency with Yardi (or comparable property management software) and Microsoft Office.
  • Ability to respond to after-hours emergencies and work a flexible schedule as business needs require.

Responsibilities

  • Direct all day-to-day operations of the property to ensure safe, efficient, and effective management of all building functions.
  • Proactively identify operational risks and implement strategies that protect the asset, minimize disruption, and support ownership objectives.
  • Establish and continually refine operational procedures and best practices that improve efficiency, consistency, accountability, and high service standards.
  • Oversee repair and maintenance activities, including preventative maintenance, corrective repairs, life safety systems, janitorial, security, landscaping, and parking operations.
  • Conduct routine inspections of common areas, building systems, and tenant spaces to ensure compliance with lease obligations and company standards.
  • Oversee utility management, including meter readings, utility repairs, and coordination with third-party billing provider.
  • Serve as the primary operational lead during emergencies and crisis situations, directing incident response and ensuring timely communication with key stakeholders.
  • In coordination with Security, maintain and continually improve the property’s emergency preparedness and crisis management plans.
  • In coordination with Marketing, manage special events including common area activity, tenant outreach, and holiday décor.
  • In coordination with Engineering, lead planning and execution of capital improvement projects, monitoring project schedules, budgets, quality, and operational impacts.
  • In coordination with Construction, support tenant improvements and other development activities by coordinating operational requirements, minimizing disruption, and maintaining continuity of property operations.
  • Develop annual operating budgets and, in coordination with Engineering, long-range capital plans that support the property’s business plan.
  • Monitor the financial performance of the property through monthly financial reporting, including variance analyses, accruals, and reforecasts.
  • Maintain an understanding of retail tenant sales performance to identify potential risks to the property’s financial performance and support informed operational decisions.
  • Identify opportunities to improve operating performance, reduce expenses, and enhance the long-term value of the asset.
  • Review and approve invoices to ensure accuracy, timely processing, and compliance with approved budgets. Coordinate the approval of unbudgeted expenses as needed.
  • Build and maintain strong relationships with tenants through proactive communication and exceptional customer service.
  • Maintain a comprehensive understanding of landlord and tenant maintenance responsibilities to ensure lease obligations are administered accurately.
  • Coordinate operational aspects of tenant move-ins, move-outs, tenant improvements, and other tenant-related activities.
  • Partner closely with Customer Experience, Marketing, Engineering, Security, and Construction to ensure a coordinated approach to tenant service.
  • Develop and maintain collaborative relationships with neighboring Homeowners’ Associations, condominium associations, adjacent property owners, municipalities, and community stakeholders to ensure coordinated operations and compliance with shared agreements.
  • Ensure all contracted services are supported by fully executed service agreements with clearly defined terms and comprehensive scopes of work.
  • Lead vendor procurement, including competitive bidding and renewals.
  • Manage vendor relationships to ensure high-quality service, timely completion of work, compliance with contract requirements, and effective cost management.
  • Regularly evaluate vendor performance and pricing, recommending changes when necessary to improve service levels or reduce costs.
  • Maintain a complete understanding of all lease agreements, amendments, and contracts (including Homeowners Associations) and ensure compliance.
  • Interpret lease provisions, in collaboration with Lease Administration, and ensure landlord obligations are consistently fulfilled.
