About The Position

Advent Services, a leader in supporting clients in technically demanding industries, is seeking a Respite Care Regional Coordinator. This role supports the Exceptional Family Member Program (EFMP), which provides respite care to military families with special medical or educational needs. The program aims to reduce caregiver fatigue and sustain military readiness by offering short-term relief. The contracted support ensures consistent, compliant, and high-quality respite care services.

Requirements

• Bachelor's Degree in Business Administration, Social Services, or a related field
• 5+ years of experience supporting social service programs
• At least 3 years in a role requiring the remote management of staff or services

Responsibilities

• Retrieve approved service packets from the government-designated secure system (DOD SAFE) and initiate processing within one business day of notification.
• Make initial contact with families to introduce the service and coordinate an introductory meeting within one business day of packet receipt.
• Collect, maintain, and update all service documentation for each family, ensuring a complete file is on hand before services are provided. All required documents must be on file and validated prior to the first service appointment.
• Identify and propose qualified providers to the family, providing a list of at least two available and qualified providers within three business days of the initial intake meeting.
• Document and report the status of the provider matching process until a match is confirmed, including the status of service coordination for all unmatched families in the weekly status report.
• Provide weekly, monthly, quarterly, and annual reports to the COR detailing service usage, trends, and statistical summaries as defined in the Deliverables Schedule.
• Prepare and submit accurate monthly invoices via Wide Area Workflow (WAWF) by the 15th of each month for the preceding month's services. Invoices must be free of errors and match service delivery records.
