About The Position

As the Resource Support Assistant, you will provide support to a high performing team of attorneys and staff. You will report to the Office Administrator and work closely with other teams to provide an integrated range of service, providing customer-focused, effective support on a variety of tasks.

Requirements

  • High School Diploma or Equivalent Experience
  • 1-3 years of experience in a law firm or professional services environment strongly preferred.
  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to handle multiple assignments and shifting priorities
  • Ability to organize and prioritize work
  • Ability to work well in a demanding and fast-paced environment
  • Ability to work independently as well as effectively within a team

Responsibilities

  • Download and save court ECF Filings using firm naming conventions
  • Assist with various administrative projects including uploading and saving documents in electronic document management system.
  • Convert documents, replace text, run document comparisons
  • Assist with attorney time entry, check requests, and conflicts/new matter intake.
  • Handle attorney travel arrangements.
  • Assist attorneys with first draft of billing edits to ensure compliance with client billing guidelines.
  • Maintain physical and electronic records using IRM.
  • Manage case records, including organizing, indexing and compiling documents for print records and electronic databases
  • Review, organize and help prepare discovery documents for use at depositions, mediations and hearings, and to provide to opposing parties
  • Conduct research about people, companies, law firms, emerging legal issues, court records, and news publications
  • Handle bates labeling, bates keys, and related tasks; help manage voluminous client documents.
  • Provide back-up coverage for Office Services and Reception, and other departments as requested
  • Assist with other tasks and projects as requested
