About The Position

We're looking for a Resource & Awards Coordinator to play a key role supporting the execution of our awards program, and as well, how we plan and deploy our creative talent. This is a dual role that blends operational discipline with creative sensibility. Reporting to the Resource Director, you'll keep the day-to-day engine of our creative operations running smoothly while helping ensure our best work is presented flawlessly to the industry. Requirements

  • 1+ years of agency experience in resource coordination, production management, project management or awards coordination — or a smart combination of the above.
  • Exceptionally organized with a sharp eye for detail — specs, deadlines and formatting errors don't slip past you.
  • Confident and diplomatic working alongside senior creative leaders, directors and multiple stakeholders simultaneously.
  • Comfortable in spreadsheets, resource tools and presentation software; at ease managing competing priorities in a deadline-driven environment.
  • Collaborative, proactive and warm — someone who earns trust quickly and makes the teams around them better.

Nice To Haves

  • Hands-on experience with major award entry platforms and their specific submission requirements.
  • Familiarity with the Canadian advertising landscape and its key award shows and trade publications.

Responsibilities

  • Support the Resource Director in executing the agency's awards strategy — translating their vision into organized, well-managed and flawlessly submitted entries across all major Canadian and international shows (Cannes Lions, D&AD, One Show, Clio, Strategy, Cassies, AToMiC and beyond).
  • Manage the awards submission calendar — track deadlines, identify eligible work, coordinate submission windows and keep internal stakeholders accountable to timelines.
  • Partner with Creatives, Directors, Editors and Strategists to help execute compelling submission narratives and case films that authentically communicate the strategic insight, creative craft and measurable impact behind our work.
  • Coordinate internal entry reviews — gather cross-functional input, support approvals and ensure every submission meets jury-ready standards including technical specs, word counts, category requirements and creative guidelines.
  • Support the Lead to manage budgets and logistics: entry fees, film edits, translations, travel and delivery.
  • Submit entries across award platforms and verify receipt; track jury requests, clarifications and status updates through to results.
  • Maintain a living archive of case studies, credits, assets and awards history — a resource the whole agency can draw from.
  • Stay current on award deadlines, category changes and emerging shows to keep the Resource & Awards Lead informed and the submission calendar up to date.
  • Administrative support; responsible for all freelance requests, setting up and tracking vendor set up, managing the department vacation calendar.
  • Monitor project timelines and dependencies; proactively communicate capacity constraints and timeline risks to the right stakeholders.
  • Work closely with Creative Leads, Producers, Account teams and People Ops to assign work, balance workloads and prevent over- or under-allocation before it becomes a problem.
