About The Position

Provides administrative and clerical support to Housekeeping Management in all phases of operation. Provides outstanding guest service at all times.

Requirements

  • Knowledge of Opera application, Tribal Enterprise Division’s (TED) reservation software system.
  • Knowledge of departmental and Tribal Enterprise Division’s (TED) internal controls, policies, and procedures.
  • Knowledge of guest service principles and practices.
  • Knowledge of multi-line telephones and standard office equipment such as photocopiers and fax machines.
  • Good telephone and basic clerical skills.
  • Good communication and interpersonal skills
  • Ability to become computer proficient with Microsoft Office Suite software, especially word processing, as well as reservation software and point of sale systems.
  • Ability to work in a fast paced environment and cheerfully handle stress.
  • Ability to analyze information, problem solve, and make sound decisions.
  • Ability to read, write, and complete any necessary paperwork.
  • Ability to lift and move twenty (20) or more pounds, with or without a reasonable accommodation.
  • Ability to maintain the physical stamina required in a fast paced work environment, including an ability to stand for long periods of time.
  • High school or General Equivalency Diploma AND six months directly related clerical experience OR any equivalent combination of academic education, professional training, or work experience.
  • May be required to pass successfully pass a job-related test.
  • Six (6) months of guest service experience.
  • Must be able to work a schedule that fits department needs (may require shift changes, weekends, holidays, special events), including overtime, as needed.
  • Demonstrated track record of integrity and confidentiality.
  • Demonstrated track record of initiative, reliability and responsiveness.
  • Must have employment eligibility in the U.S.
  • Must be able to obtain, maintain, and retain a valid non-gaming license.

Responsibilities

  • Ensures that guest accommodation needs are met during their hotel stay and ensures that complete satisfaction is confirmed.
  • Keeps in constant communication with the Housekeeping and Facilities units to maintain an up-to-date list of guest room supplies (i.e. toiletries, magazines, light bulbs, etc…).
  • Serves as liaison between Housekeeping and Front Desk.
  • Monitors and updates Opera system reflective of guest room status.
  • Answers calls on multi-line telephones and takes action such as taking messages or transferring calls.
  • Logs guest “lost and found” items and ensures they are directed to Security on a daily basis.
  • Documents guest room “incidental usage” (i.e. water, snacks, etc…) and ensures accurate charges are reflected on folio.
  • Maintains constant awareness of services, promotions, and events offered by the Tribal Enterprise Division (TED) to inform guests.
  • Promotes the hotel’s retail outlets through pro-active selling.
  • Provides outstanding guest service during guest stays by responding to requests quickly and cheerfully; refers request to supervisor, if unable to fulfill.
  • Supports management staff by alerting them to potential problems and making recommendations to improve productivity, reduce costs, and improve guest service.
  • Maintains daily call and key check-out log.
  • Performs other job-related duties as assigned.
