About The Position

This role is a fixed-term contract for a Residential Services Manager. The position involves managing and supporting a team of residential managers, acting as their first point of contact for questions or concerns. The role requires proactive management of health and safety compliance, risk, and insurance issues on site. The manager will also be responsible for liaising with tenants, local authorities, and the surveying team, as well as processing invoices and managing maintenance requests through a portal.

Requirements

  • Proven track record within the property management industry.
  • Understanding of how stakeholders function and the range of services available to clients.
  • Knowledge of legislation relating to residential property management.
  • Positive attitude and willingness to learn.
  • Proven track record of how to build and maintain client relationships.
  • Develop an understanding of how to build and maintain tenant and customer relationships, maintain supplier relationships, use Industry/specific IT applications.
  • Understanding of key issues to be noted on property inspections and ability to resolve.
  • Understand the principles of service charges, budget management and purchase order management.
  • Be able to specify services, tender contracts and select service providers.
  • Know and be able to apply legislation and policies relating to Environmental protection and Health and Safety (achieving KPI’s).
  • Understand insurance relating to buildings and the FSA regulations.
  • Ability to work effectively in a busy environment as part of a team, supporting colleagues.
  • Effective communicator both verbally and in writing.
  • Excellent customer service skills.

Responsibilities

  • Attend weekly residential review meetings to ensure the latest updates are communicated.
  • Monitor all activities relating to the sites, reporting and taking action as appropriate.
  • Conduct regular inspections of the building fabric.
  • Undertake all vacant property checks and carry out duties such as flushing units and removing any post.
  • Utilize the portal to manage and resolve all AST and Long Leasehold reactive maintenance requests for the portfolio.
  • Process all AST and Long Leasehold residential invoices and queries on P2P in a timely manner.
  • Compile and maintain records relating to the sites (e.g., residential health checks, plans, plant testing), taking any action which may be required.
  • Arrange and undertake initial tenant welcome meetings and issue welcome emails.
  • Update utility suppliers and Council of all tenancy changes.
  • Liaise with all AST and Long Leasehold residential tenants and deal with any operational queries they might have, as well as attending all AST/Long Leasehold residential tenant meetings with the surveying team.
  • Arrange and manage all tenant check-outs and manage remedial works to completion.
  • Be responsible for Health and Safety compliance on site, and the maintenance of records of all residential properties.
  • Liaise with local authorities as appropriate.
  • Proactively manage risk and deal with insurance issues on site relating to residential claims.
  • Produce regular reports to Estate Manager and residential surveying team, as required.
  • Be responsible for managing and supporting a team of residential managers and act as the first point of contact for any questions or concerns.
