About The Position

We are seeking a highly organized, detail-oriented, and mission-driven Office Manager to provide administrative oversight and operational support for our Residential and Educational Clinical Services programs. This position plays a vital role in ensuring the smooth day-to-day functioning of multiple program sites while supporting staff, leadership, families, and community partners. The Office Manager serves as a central point of coordination for communications, scheduling, compliance tracking, reporting, and office operations. The ideal candidate is proactive, adaptable, and able to manage multiple priorities in a fast-paced human services environment while maintaining professionalism and confidentiality.

Requirements

  • Minimum of 3 years of office administration or office management experience required
  • Strong organizational, multitasking, and time management skills
  • Excellent written, verbal, and interpersonal communication skills
  • Proficiency with Microsoft Office, spreadsheets, reporting systems, virtual meeting platforms, and database management
  • Ability to work independently, prioritize competing demands, and maintain confidentiality

Responsibilities

  • Coordinate and schedule team meetings, committee meetings, and program events, including preparing agendas, materials, and communications
  • Maintain and organize program calendars, clinical schedules, distribution lists, and organizational charts
  • Support data collection, reporting, auditing, and recordkeeping to ensure compliance with agency and regulatory standards
  • Prepare correspondence, reports, presentations, and other documentation for operational and programmatic needs
  • Serve as a liaison for families, school districts, stakeholders, contracted providers, and community partners
  • Support onboarding and offboarding processes and collaborate with IT and other departments on system access, software implementation, and staff training
  • Maintain compliance-related records and assist with COA/EEC audit preparation and tracking
  • Coordinate communications and required notifications to families and collateral contacts
  • Assist with admissions processes, client documentation, and tracking systems
  • Oversee office operations including inventory management, supply ordering, petty cash processing, and vendor coordination
  • Support division-wide events, committee participation, newsletters, and staff communications
  • Collaborate with leadership teams to maintain accurate data sets and follow-up tracking for incidents, investigations, and action items
