About The Position

A Resident Specialist is responsible for leasing apartments and renewing leases while following the Compliance Guidebook. This role requires consistently providing exceptional customer service to applicants, residents, and vendors. The position involves mastering and consistently following the Trinity method of leasing, including performing "The Perfect Greeting," demonstrating apartments and community amenities according to Trinity standards, and maintaining comprehensive knowledge of inventory, competition, and amenities to effectively lease apartments. The specialist will review and explain occupancy terms, enter prospect information into Yardi daily, and follow up with prospects. A minimum shop score of 80 is expected, with continuing improvement. Responsibilities also include processing new lease applications and recertification files accurately and submitting them to the Compliance Department within specified timeframes. The role ensures compliance with Section 42 Tax Credit guidelines, the Policies and Procedures Manual, Compliance Manual, Fair Housing Laws, Training Programs, and OSHA and Safety Standards. The Resident Specialist will cooperate with the Compliance Department to achieve "Perfect Files" and assist the Property Manager with supervising, motivating, and training office staff. Accurate and timely completion of required reports and meeting or exceeding specified objectives, including monthly goals, are also key duties. Any additional assigned duties will be performed.

Requirements

  • Communicate regularly and effectively with the Property Manager, addressing any needs or concerns regarding the property or staff.
  • Maintain continuous communication with the Property Manager regarding the status of all new move-in and recertification files.
  • Maintain open, honest, and timely communication with residents regarding their applications, tax credit recertifications, maintenance requests, and property concerns.
  • Ensure all communicated commitments with residents are fulfilled and appropriate follow-up communication is provided when necessary.
  • Accurately record Maintenance Service Requests in Yardi.
  • Maintain open, honest, and timely communication with residents regarding maintenance requests, concerns, and complaints.
  • Handle all resident complaints and concerns while maintaining professional and positive composure.
  • Ensure all communicated commitments with residents are fulfilled and appropriate follow-up communication is provided when necessary.
  • High school diploma or equivalent.
  • At least one year customer service experience required.
  • Communicate in English clearly and concisely – both orally and in writing.
  • Must be willing and able to occasionally travel, including working at other property locations or overnight trips.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Must have a reliable means of transportation, possess a valid Arizona Drivers license, and a clean driving record with personal auto insurance.

Responsibilities

  • Reviewing and explaining the terms and conditions for occupancy with all new leases.
  • Entering all prospect contact information in Yardi daily.
  • Following up with prospects daily and records the interaction in Yardi.
  • Achieving a minimum shop score of 80 or higher and showing continuing improvement in subsequent shops.
  • Processing, completing, and submitting to the Compliance Department all new lease applications within three to five working days.
  • Processing, completing, and submitting to the Compliance Department all recertification files no later than 30 days before the recertification due date.
  • Ensuring accurate information and appropriate documents are provided and meet the current Section 42 Tax Credit guidelines.
  • Understanding and adhering to the Policies and Procedures Manual, Compliance Manual, Fair Housing Laws, Training Programs, and OSHA and Safety Standards.
  • Cooperating with the Compliance Department to achieve and maintain “Perfect Files.”
  • Assisting Property Manager with supervising, motivating, and training the office staff.
  • Accurately and timely completing all required reports.
  • Meeting or exceeding all specified objectives, including, but not limited to, monthly goals set forth by the Property Manager.
  • Performing any additional duties assigned.
