About The Position

Associated Students, Inc. (ASI) is a non-profit corporation guided by a student board and managed by full-time professional staff, serving the Cal Poly Pomona campus population. ASI provides opportunities for student engagement, employment, and various programs and services. ASI is seeking dynamic team members who value team learning, co-creation, and adaptability. The Reservations Supervisor, under general supervision from the Conference and Events Manager, provides day-to-day oversight of reservations for the Bronco Student Center (BSC), Bronco Recreation and Intramural Complex (BRIC), and designated outdoor spaces. This includes confirming requests, communicating operational needs for events, and event billing. The position assists in supervising Reservation Specialists and directly supports the Conference and Events Manager in student experience development. This role performs routine and complex assignments requiring specialized knowledge, prior relevant experience, and independent judgment. The position works hybrid and on campus and requires availability for mandatory training.

Requirements

  • Current American Red Cross CPR/AED for the Professional Rescuer certification, First Aid for Public Safety Personnel certification (Title XXII), and Administering Emergency Oxygen Certification (Training for the above certifications will be provided upon employment).
  • Ability to lead staff, demonstrated through previous supervisory experience.

Responsibilities

  • Reviewing and approving requests for the BSC, BRIC, and designated outdoor spaces to ensure optimized use of space, including proper setup and coordination of requested events.
  • Assisting the coordinator with all aspects of event planning and conference coordination, including facility selection, determination of catering needs, preparing estimate charges, and sending confirmation packages.
  • Assisting with the recruitment, training, supervision, mentorship, and evaluation of Reservation Specialists.
  • Serving as primary contact backup to ensure all special arrangements for major events are adequate, including the preparation of work orders, coordinating special service providers, scheduling of additional personnel, and audio-visual support.
  • Operating, maintaining, and staying abreast of the digital reservation system for ASI facilities in collaboration with the University.
  • Assisting in the preparation, analysis, and presentation of data-driven reports on reservation information.
  • Assisting the Coordinator in the development, assessment, and enhancement of scheduling procedures, billing protocols, and other systems of operation.
  • Performing other related duties as assigned.
