About The Position

Join a collaborative team advancing innovative cancer research, education, and patient care at the University of Wisconsin School of Medicine and Public Health. The Department of Radiation Medicine is seeking a highly organized and motivated Research Program Coordinator to support research initiatives, faculty recruitment efforts, and strategic departmental programs within the Radiation Medicine Physics program. In this dynamic role, you will serve as a key partner by coordinating research activities, managing program operations, facilitating multidisciplinary collaborations, and supporting grant-funded initiatives. You will help bring people together to advance scientific discovery by coordinating participant engagement, tracking project milestones, maintaining program documentation, and supporting data collection and analysis efforts for informal and formal reporting. You will serve as a central hub for scheduling coordination and logistics, ensuring seamless alignment of meetings, events, travel, and programmatic activities across leadership, stakeholders, and research initiatives including internal and external collaborators. You will support the development of high-impact grant proposals and research protocols, assisting in their development and assembly while ensuring compliance with all applicable regulations while advancing innovative initiatives. This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Requirements

  • Demonstrated experience coordinating projects, programs, events, research activities, or administrative operations in a professional setting.
  • Strong organizational skills with the ability to manage multiple priorities, maintain detailed records, meet deadlines, and adapt to changing program needs.
  • Excellent written and verbal communication skills, with the ability to effectively collaborate with diverse stakeholders and provide exceptional administrative and programmatic support.
  • Demonstrated advanced proficiency in office software (e.g., Word, Excel, PowerPoint, Outlook).

Nice To Haves

  • Experience supporting research programs, grant-funded projects, academic programs, or clinical operations within a higher education, healthcare, or research environment.
  • Experience coordinating recruitment, onboarding, training activities, meetings, or events involving multiple stakeholders and competing priorities.
  • Proficiency with data management, reporting, survey administration, or analysis tools, including experience maintaining documentation, tracking project metrics, and supporting compliance-related activities.
  • Demonstrated familiarity with emerging AI tools in an office setting including applying them to drive efficiency and process improvements

Responsibilities

  • Coordinates the daily activities and contracts related to one or more research program(s)
  • Serves as a unit liaison and subject matter expert among internal and external stakeholder groups, collaborates across disciplines and functional areas, provides program information, and promotes the accomplishments and developments of scholars and research initiatives
  • Assists in the development, coordination, and facilitation of trainings and workshops for internal and external audiences to disseminate research program developments and information
  • Plans, develops, and implements processes and protocols to support research aims
  • Monitors program budget(s) and approves unit expenditures
  • Develops policies, procedures, and institutional agreements on behalf of the program
