About The Position

Vital Research is seeking three highly organized, customer-focused Research Assistant – Schedulers to join our Aging & Disabilities team in support of two statewide Quality of Life (QOL) survey projects. In this role, you'll help coordinate interviews with assisted living and nursing facilities, ensuring our research teams can successfully collect data that informs programs and services for older adults. This temporary position offers hands-on experience supporting large-scale survey research projects. It's an excellent opportunity for individuals interested in research operations, project coordination, and data management while contributing to work that improves quality of life for residents in assisted living and nursing facilities. This is a temporary position with no guarantee of extension or future employment. Additional opportunities may be available based on business needs and performance.

Requirements

• One year of experience in administrative support, customer service, healthcare, research, or a related field.
• Availability to work in-office Monday–Friday, 6:00 a.m.–2:30 p.m. PT (approximately 40 hours per week).
• Proficiency with Microsoft Office, including Excel.
• Comfortable using Zoom and other virtual collaboration tools.
• Enjoy talking with people and providing exceptional customer service.
• Communicate professionally and confidently by phone and email.
• Comfortable making high-volume outbound calls.
• Stay organized, pay close attention to detail, and maintain accurate records.
• Effectively manage multiple priorities while meeting deadlines in a fast-paced environment.
• Work independently while collaborating effectively with a team.
• Demonstrate strong problem-solving skills, sound judgment, and adaptability when priorities change.
• Maintain confidentiality and follow data security and privacy requirements.

Nice To Haves

• Bachelor's degree in a social science or related field.
• Experience with Microsoft Access.
• Supporting research, survey administration, evaluation, or healthcare-related projects.
• Familiarity with healthcare terminology.
• Experience using survey platforms such as Alchemer or Voxco.

Responsibilities

• Schedule interviews between nursing facility and assisted living staff and our Field Interviewers.
• Conduct high-volume phone and email outreach to coordinate appointments, confirm schedules, and send reminders.
• Resolve scheduling conflicts and communicate updates to project teams.
• Build positive relationships with facility staff while providing outstanding customer service.
• Monitor scheduling activities, maintain accurate project records, and communicate updates to internal project teams.
• Assist with meeting documentation, document preparation, printing, mailing, and other project support activities.
• Follow HIPAA, confidentiality, data security requirements, and project protocols.
• Support additional project needs as assigned.
