About The Position

This position assists in the management of pre-award sponsored research (including non-financial post-award) activities. This includes proposal development and submission, ensuring compliance with sponsored requests, liaising between faculty, staff, Colleges, and administrative offices, maintaining proper records, and assisting with reporting. The role involves coordinating proposal development and processing for approval, signature, and submission to external sponsors, preparing proposal packages, assisting faculty in routing proposals to meet deadlines, and reviewing proposals for compliance with sponsor requests and College/University procedures. It also involves administering grants and contracts, transmitting account requests, receiving and reviewing award notifications, routing contracts and amendments, assisting in preparing and processing subcontracts/awards forms, and coordinating with accountants and the Finance Office regarding post-award management. The position also assists with research reporting and document retention, maintaining files for proposals and awards, and serving as a liaison between faculty, staff, Colleges, and various sponsored programs offices. Additionally, the role requires staying abreast of University and agency research regulations and requirements, attending relevant seminars and trainings, and may include assisting in maintaining up-to-date websites and developing training materials.

Requirements

  • Bachelor's degree
  • 1 year of experience (for Research Administrative Specialist 2)
  • Relevant experience in key job responsibilities (a degree is not required as long as the candidate meets the required years of experience specified in the job description).
  • Valid U.S. work authorization at the time of hire and maintain that valid work authorization throughout employment.

Responsibilities

  • Coordinate proposal development and processing for approval, signature and submission to external sponsors for departments with limited supervision.
  • Prepare proposal packages (i.e. Grants.Gov).
  • Assist faculty in routing proposals through GeauxGrants to meet internal and external deadlines.
  • Review proposals for compliance with sponsor requests, and College/University procedures/policies.
  • Assist in obtaining University waivers, matching letters and special approvals.
  • Assist in resolving issues through discussions with faculty and administrators.
  • Transmit account requests and University forms to OSP for approval and submission.
  • Receive, review and forward notifications for all awards.
  • Route contracts and amendments for faculty and University approval.
  • Assist in preparing and processing subcontracts/awards forms.
  • Coordinate with accountants and the Finance Office regarding post-award management.
  • Serve as back-up support for other grant coordinators.
  • Assist with research reporting and document retention.
  • Maintain file for proposals and awards.
  • Serve as liaison between faculty, staff, Colleges, the Offices of Sponsored Programs (OSP), the Office of Research and Economic Development (ORED) and Sponsored Program Accounting (SPA) for individual proposals.
  • Keep abreast of University and agency research regulations and requirements.
  • Attend appropriate seminars, trainings, workshops and webinars.
  • Assist in maintaining up-to-date website.
  • Assist with developing training materials.
  • Autonomously assist with the management of proposal development and processing for approval, signature and submission to external sponsors for departments with limited supervision.

  • Maintain updated, on-line award database for Foundation and internal funding.
  • Serve as liaison between faculty, staff, Colleges, the Offices of Sponsored Programs (OSP), the Office of Research and Economic Development (ORED) and Sponsored Program Accounting (SPA) for individual proposals and on behalf of the office.
