About The Position

The Fleet Administration Specialist supports the Rental Systems Applications by setting up new users in Rental applications, gathering pertinent information, researching, and testing potential issues. They also administer or process incoming vendor/supplier invoices for payment, equipment order entry, receiving customer certificates of insurance, and processing equipment sale invoices.

Requirements

  • Highschool Diploma or equivalent experience
  • 1-3 years of sales administrative support
  • Proficient in Excel, Word, and Outlook
  • Strong project management, customer service, and administrative skills are required
  • Excellent written and oral communication skills
  • Good time management and organization
  • Detail oriented

Nice To Haves

  • Technical degree or equivalent
  • Bachelor's degree in business management, Accounting, or related business field
  • 3-5 years of Excel
  • 1-5 years of billing/invoicing
  • Proficient with iRental and Dealer Business Systems
  • Familiar with insurance terminology

Responsibilities

  • Managing the Rental Systems Applications includes setting up and maintaining user accounts and training new users.
  • Investigate errors in the Rental Systems Application, by gathering all relevant information, researching, testing potential issues, and working with vendors to implement fixes.
  • Creating and maintaining various reports through different platforms to handle requests from customers and management.
  • Processing freight/machine/vendor/supplier payables and researching and reconciling statements for the Rental Department.
  • Managing the purchase order processing, which includes ordering new equipment for the rental fleet and sales team, documenting orders in the appropriate applications, tracking open orders with vendors, and receiving inventory.
  • Reviewing and submitting customer insurance certificates to the vendor portal
  • Monitoring the reporting of customer certificates of insurance that do not meet requirements to ensure Rental Equipment Protection (REP) is charged accordingly, reporting REP charges monthly, and processing REP claims.
  • Managing Equipment sales invoicing, which includes administering rental fleet sold assets, processing sales invoices on rental fleet assets, and reporting accordingly on CAT assets
  • Documenting rental rates, including data entry of rental rates for books and customer contracts.
  • Reviewing and assigning national account customers to internal accounts.
  • Any and all duties assigned.
