About The Position

The Rental Owner Services Administrator (ROS Administrator) will serve as an effective intermediary between individual homeowners and Copper Mountain Resort, providing essential office duties. This role is responsible for consistently delivering outstanding service, ensuring expeditious follow-through, and maintaining high-quality communication with Copper Mountain homeowners who are clients of the resort's short-term rental management and/or property management programs. All actions taken by the Administrator must align with existing agreements with homeowners, focusing on a mutually beneficial relationship. The Administrator will act as a professional point person, offering support, resources, assistance, service, and communication to individual homeowners. They will also function as a liaison between homeowners (including individual owners and HOA Boards) and various Copper Mountain departments, internal resort operations, and external vendors involved in property and rental management services.

Requirements

  • Must be able to lift and carry items up to 50 lbs.
  • Must be at least 18 years old.
  • Varied working hours that may include evenings, weekends, early mornings and some long days.
  • Reasonable fitness is required in order to move about the property and individual buildings/units easily during all weather conditions.
  • Criminal background check will be conducted after position is accepted.
  • High School diploma is required.
  • Proficiency in Microsoft Word, Excel, Office and Outlook Programs is essential.

Nice To Haves

  • A College or University degree or diploma in Hospitality/Lodging; Property Management; Resort Operations; Communications; Business or related field is desired.
  • Proven, validated experience/performance in any of the above (or closely related) fields will be considered.
  • Professional certification in any of the above fields is strongly desired.
  • Proven experience in Property Management; Homeowner Relations; Hospitality/Lodging Operations, Sales and/or Customer Service experience strongly recommended.
  • Strong working knowledge of Visual One (V1) or other property/rental management systems.

Responsibilities

  • Provide administrative support to the ROS Manager, ROS Supervisor, and ROS Coordinators to ensure efficient daily operations.
  • Serve as a professional point of contact and liaison between homeowners, Copper Mountain departments, internal resort operations, and external vendors.
  • Respond to homeowner inquiries by phone, email, and in person, providing timely and accurate information.
  • Maintain accurate homeowner, property, reservation, and account records within applicable systems.
  • Assist with homeowner account updates, ownership transfers, reservation changes, rental agreements, W-9s, direct deposit information, and other required documentation.
  • Coordinate and track requests, work orders, maintenance concerns, and vendor services to ensure issues are followed through to completion.
  • Communicate with housekeeping, maintenance, front desk, accounting, reservations, and other departments regarding homeowner and property needs.
  • Assist with invoice tracking, payment documentation, purchase orders, and other administrative or accounting-related tasks.
  • Prepare, organize, and distribute reports, correspondence, forms, spreadsheets, and other departmental documents.
  • Maintain organized electronic and physical filing systems and ensure records are kept current and accessible.
  • Monitor departmental emails, correspondence, and task requests and assist with prioritizing items requiring follow-up.
  • Schedule meetings, appointments, property inspections, vendor visits, and other departmental activities as needed.
  • Assist with tracking deadlines, owner communications, reservations, property status changes, and other time-sensitive tasks.
  • Help identify and communicate issues that may impact homeowners, guests, rental properties, or resort operations.
  • Follow up with appropriate departments and vendors to ensure homeowner and property concerns are resolved in a timely manner.
  • Maintain confidentiality and handle homeowner, financial, property, and business information appropriately.
  • Provide general office support, including data entry, filing, scanning, copying, document preparation, and other administrative duties.
  • Assist with special projects, departmental initiatives, and other duties as assigned by the ROS Manager.
  • Functions as an ambassador of Copper Mountain, modeling and sharing the Copper “culture” with our guests and employees.
