Rental Fleet Manager
About The Position
Sherman + Reilly is hiring a Rental Fleet Manager to own compliance, safety technology, and mechanical integrity for their rental fleet of over 150 units. This is an asset-stewardship role focused on ensuring equipment is registered, inspected, insured, monitored, and mechanically sound. The role involves managing registrations, inspections, insurance, telematics administration, dash cam programs, preventative maintenance scheduling, and field repair coordination. The Rental Fleet Manager will work closely with the Rental Coordinator, who handles customer-facing responsibilities, while the manager resolves operational issues behind the scenes.
Requirements
- Experience in fleet compliance, asset management, or heavy equipment maintenance coordination.
- Working knowledge of DOT and state inspection, titling, and registration requirements for commercial equipment across multiple states.
- Ability to schedule and coordinate preventative maintenance across a large, distributed fleet.
- Sound judgment for triage decisions — knowing when to pull equipment back versus repair it in the field.
- Comfortable working closely with Service technicians and coordinating their schedules.
- Strong organizational and recordkeeping skills; asset documentation has to be complete and audit-ready at all times.
Nice To Haves
- Experience managing a fleet of 100+ units across multiple states.
- Direct experience administering telematics or dash cam safety programs (e.g., Lytx or similar).
- Background in heavy equipment, utility equipment, or industrial rental fleets.
- Familiarity with ERP or fleet management systems for asset tracking.
Responsibilities
- Maintain MSOs, titles, registrations, and license plates for every unit.
- Keep required state/DOT inspections and insurance documentation current across all states of operation.
- Own installation, administration, and exception reporting for the fleet's telematics.
- Manage the Lytx dash cam program and driver behavior follow-up.
- Schedule preventative maintenance based on hours, mileage, and calendar intervals.
- Maintain service history for every unit.
- Coordinate maintenance work with Service technicians.
- Evaluate incoming issues relayed from the Rental Coordinator.
- Hold decision authority on technician dispatch, third-party repair, or equipment pull-back.
- Plan for parts and consumables needed for the fleet's PM schedule.
- Serve as the operational counterpart to the Rental Coordinator, providing necessary status updates.
- Keep fleet records current and audit-ready in the ERP/fleet management system.
