The Rental Coordinator, under the general supervision of the Rental Supervisor, assists in managing short-term rental equipment, rents equipment from the Hawthorne Rent It Service fleet, and compiles information for reporting.

Requirements

  • High school diploma or equivalent.
  • 2 years general office or retail experience.
  • 2 years of customer service experience.
  • Ability to work well under pressure or with changing priorities.
  • PC skills required.
  • Must have a valid CA Class C License and a clean driving record.

Nice To Haves

  • Experience in Rental Equipment or Construction industry preferred.
  • Familiar with AS400 a plus.

Responsibilities

  • Quotes customer daily, weekly and monthly rental rates and rents out the equipment.
  • Explains terms and conditions of the rental to the customer.
  • Prepares rental agreement, insurance form, invoicing and all required documents to consummate the transaction.
  • Arranges the delivery and/or pickup of equipment with the shop or contract haulers.
  • Keeps track of all equipment out on rent and in the rental fleet.
  • Logs daily activity.
  • Contacts and bills customers for additional rental days when equipment is not returned by the specified date.
  • Responsible for collection of payment from "cash" customers.
  • Returns equipment, issues credit and handles additional billing as needed.
  • Checks equipment for damage upon return and coordinates with service for fueling, repairs, etc.
  • Advises and bills the customer for the cost of repair for machine damage, with approval from the Rental Supervisor.
  • Gathers and compiles rental activity information and prepares and distributes equipment utilization report monthly.
  • Recommends models of equipment to be added or removed from the rental fleet.
  • Serves customers in a courteous and diplomatic manner.
  • Maintains a good working relationship with customers and other employees.
  • Maintains good communications with all contacts, ensuring messages receive prompt attention and sufficient information is provided courteously.
  • Keeps equipment records both manually and electronically (computer generated) and maintains their accuracy in a timely manner.
  • Keeps respective managers informed on all matters of managerial importance.
  • Possesses strong knowledge of Hawthorne Rent It Service (HRIS) equipment.
  • Understands and complies with HRIS credit policies.
  • Submits lost rental reports on a timely basis.
  • Acts as Administrator of Home Depot and other major account contracts.
  • Performs other duties as assigned.
