About The Position

Custom Truck One Source (CTOS) is seeking an experienced Rental Coordinator to join their team in Ayr, Ontario. This role involves coordinating rental equipment, managing contracts, preparing documentation, and maintaining fleet inventory. The ideal candidate will have a strong understanding of heavy equipment, commercial trucks, and customer service, and will work in a fast-paced environment.

Requirements

  • High School Diploma or equivalent required.
  • Minimum 3 years of experience in a rental coordination, equipment administration, or related role.
  • Valid driver's license required.
  • Strong mechanical aptitude and familiarity with equipment parts and components.
  • Proficiency with Microsoft Office applications and general computer systems.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Nice To Haves

  • Experience with aerial equipment, construction equipment, heavy-duty trucks, or utility equipment preferred.
  • Knowledge of hydraulics, diesel engines, heavy equipment, farm equipment, or commercial vehicles is considered an asset.
  • Experience with inventory management or ERP systems (such as M3) is preferred.

Responsibilities

  • Coordinate rental equipment requests and source units from other CTOS locations when needed.
  • Open and close rental contracts and create work orders for rental equipment repairs.
  • Prepare and provide required compliance documentation, bills of lading (BOLs), and shipping paperwork.
  • Maintain a thorough understanding of the rental fleet and equipment applications.
  • Assist with equipment sales documentation and asset information gathering.
  • Obtain freight quotes and coordinate the shipment of rental equipment across Canada and the United States.
  • Manage rental fleet inventory, new equipment inventory, upfit inventory records, and asset files.
  • Create purchase orders and coordinate vendor transactions.
  • Complete licensing and registration processes for company assets and assist customers with title and registration inquiries.
  • Maintain accurate rental and shipping records through scanning and filing of documents.
  • Perform regular physical inventory counts of equipment on-site.
  • Work with corporate teams to obtain rental and Rent-to-Purchase (RPO) pricing.
  • Partner with the Service Department to minimize equipment downtime and maximize fleet availability.
  • Monitor and report monthly rental revenue performance.
  • Deliver an exceptional customer experience throughout the rental process.
