About The Position

The Rental Department Coordinator is responsible for ensuring accurate rental transactions, maintaining equipment readiness, and delivering exceptional customer service. This role requires strong attention to detail, proactive communication, and accountability to ensure efficient rental operations, customer satisfaction, and adherence to company policies and safety standards.

Requirements

  • High school diploma or GED is required.
  • Excellent verbal and written communication, attention to detail, interpersonal and customer service skills.
  • Self-motivated, requiring minimal supervision
  • Team player with excellent people skills.
  • Committed to providing elevated customer experience.
  • Ability to use and manage multiple online computer applications/systems with technical proficiency
  • Proficient with Microsoft Office Suite (Excel, Word, Power Point).
  • Strong organizational, multitasking, and time management skills.
  • High attention to detail and accuracy in documentation and processes.
  • Effective communication and problem-solving abilities.
  • Ability to work in a fast-paced, team-oriented environment.
  • Basic computer proficiency

Nice To Haves

  • 2 years’ experience in similar role preferred.
  • experience with rental or ERP systems preferred.

Responsibilities

  • Deliver prompt, professional, and solution-oriented customer service.
  • Accurately prepare and manage rental agreements, including verification of customer information, terms, and documentation.
  • Conduct pre- and post-rental equipment inspections, ensuring safety, cleanliness, and operational readiness.
  • Document equipment condition, damages, and usage details, including photos and reports.
  • Manage equipment scheduling and availability, coordinating with maintenance to prevent downtime and double-booking.
  • Communicate proactively with customers and internal teams regarding availability, delays, and updates.
  • Maintain accurate rental records, inventory counts, and tracking of equipment, attachments, and assets.
  • Ensure compliance with all safety procedures, PPE requirements, and operational regulations.
  • Support inventory control, cycle counts, and proper staging/storage of equipment.
  • Maintain clear, professional communication and document updates in rental systems.
  • Take ownership of tasks through completion and follow up as needed.
  • Meet department KPIs, follow procedures consistently, and correct errors promptly.
  • Adhere to attendance, timekeeping, and scheduling requirements.
