The Renewals Account Specialist is responsible for proactively supporting the full renewal lifecycle across Epoch Concepts' customer base. This role serves as the dedicated point of contact for renewal opportunities, partnering closely with vendor partners (including Carahsoft), internal sales teams, and customers to identify expiring contracts, generate quotes, enter and track data in the CRM, and drive timely renewals. The Renewals Account Specialist will also support the renewals practice from the ground up, establishing processes and data continuity across the organization.

Requirements

  • 2+ years of experience in sales support, contract management, inside sales, or a renewals-focused role.
  • Demonstrated ability to manage a high volume of opportunities and deadlines with accuracy and attention to detail.
  • Proficiency with CRM platforms (Business Central or similar); comfortable with data entry and pipeline management.
  • Strong customer communication skills — written and verbal — with ability to nurture and close renewal business.
  • Ability to work cross-functionally with sales teams, vendors, and internal stakeholders.
  • Experience with Dell Technologies products, services, or partner programs.
  • Familiarity with distributor/VAR partner ecosystems (e.g., Carahsoft, Arrow, or similar).
  • Experience supporting government or defense sector customers.
  • Knowledge of software maintenance, warranty, and support contract renewals.

Responsibilities

  • Monitor all expiring contracts and maintenance agreements, proactively identifying upcoming renewals at 30, 60, 90, and 120+ day intervals.
  • Serve as the primary point of contact for renewal leads received from vendor partners such as Carahsoft, including near-expiration and already-expired opportunities.
  • Track renewal wins and losses, maintaining accurate pipeline reporting by date, sales team, vendor/program, and customer.
  • Flag opportunities as renewals within the CRM and maintain cloned renewal records, including Period of Performance (POP) dates and product details for software and maintenance items.
  • Enter all renewal leads, opportunities, and associated data (service tags, serial numbers, Dell order numbers, PO numbers) into the CRM system accurately and consistently.
  • Follow and support a standardized naming and tracking convention for renewal opportunities across all sales teams in coordination with IAMs.
  • Support the transition of existing renewal tracking from manual methods into the CRM, assisting sales teams with historical data entry.
  • Assist with maintaining automated reminders and CRM alerts for upcoming renewal dates and ensure pipeline data remains current.
  • Prepare and deliver accurate renewal quotes to customers in a timely manner, including updated pricing based on current vendor terms.
  • Proactively reach out to customers ahead of contract expiration to present renewal options, address questions, and close renewal business.
  • Coordinate with vendor partners to obtain renewal pricing, promotions, and supporting deal information.
  • Support renewal campaigns and outreach workflows, including automated customer emails where CRM functionality supports it.
  • Support the Carahsoft renewal partnership, coordinating lead intake, data sharing requirements, and partnership launch milestones.
  • Collaborate with all internal sales teams (IAMs) to support consistent renewal tracking, ensure consistent data entry practices, and support team-specific renewal needs.
  • Partner with IT/CRM administrators to support renewal workflows, opportunity cloning logic, and reporting dashboards.
  • Assist with consolidations, lost renewal recovery efforts, and campaigns to build additional renewal business across all verticals.
  • Produce regular renewal reports segmented by date, sales team, program/vendor, and point of contact.
  • Track renewal rate metrics and contribute to revenue forecasting for the renewals pipeline.
  • Provide leadership with reporting and insights into the health of the renewal book of business, including win/loss trends and at-risk opportunities.
