About The Position

The Illinois Department of Revenue is hiring a Remittance Processing/Manual Section Manager (Office Administrator V) for their Document Control & Deposit Division in Springfield, IL. This role is responsible for supervising staff and daily remittance processing operations, ensuring compliance with mandated deposit timeframes, and overseeing critical systems used to process taxpayer payments and financial data. The ideal candidate will possess strong leadership skills, operational management experience, and the ability to analyze and solve complex problems.

Requirements

  • Requires knowledge, skill, and mental development equivalent to completion of two years of study at a secretarial/business college and three years of office experience.
  • OR Requires completion of high school and five years of Office Assistant experience.
  • OR Requires five years of independent business experience.
  • Requires the ability to successfully complete a tax compliance and fingerprint-based background check.
  • Requires the ability to use and secure a state issued mobile device, e.g., cellular phone, laptop computer, tablet, etc.
  • Requires physical ability to push and pull a cart loaded with tubs of documents.
  • Requires ability to lift and carry work above shoulder level to place on or remove from shelves.
  • This position is considered heavy work as defined by the U.S. Department of Labor (20 CFR 404.1567(d)). Heavy work involves lifting no more than 100 pounds at a time with frequent lifting or carrying of objects weighing up to 50 pounds.

Responsibilities

  • Plans and directs the activities of the Remittance Processing program with the Document Control & Deposit Division (DC&D) to meet the mandated daily deposit timeframes.
  • Serves as full line supervisor.
  • Receives and distributes incoming work from Secretary of State and regional offices.
  • Manages all DC&D operating systems for electronically transferring data files to subsequent systems throughout IDOR.
  • Writes and updates established procedures to respond to policies and legislative mandates and/or to achieve more efficient operations.
  • Directs the compilation and preparation of daily, weekly, and monthly production reports.
  • Performs special projects/studies (e.g., an increase or decrease in production based on current and past year’s figures) as requested by management.
  • Provides back-up to other Section Managers within DC&D to supervise staff in the absence of the regular supervisor or to provide additional assistance with production backlogs, new program implementation, or special projects.
  • Confirms that the security and confidentiality of federal and state tax information are strictly enforced by monitoring the security levels of staff to make certain that confidential taxpayer information and federal data are accessed only by authorized personnel and are handled and stored in accordance with agency procedures and federal guidelines.
  • Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above.
