About The Position

The Release of Information Specialist is responsible for processing STAT requests that impact continuity of care. This position also serves as the electronic health record external access support contact to both internal and external end users providing appropriate support and/or access to information while maintaining the utmost patient confidentiality. The incumbent also manages the advance medical directive process of review and acceptance/rejection, scanning and acknowledging receipt of an advance directive via letter to the patient. This position approves, flags, and scans/indexes all verbal and exchange of information authorizations. This includes working with the patient and their families, and internal staff to ensure the document is valid prior to scanning it into the electronic medical record (EMR).

Requirements

  • Experience with electronic medical record (EMR)
  • MS Office Suite (Excel, Outlook, Word)
  • Demonstrates analytical skills and attention to detail
  • Knowledge of Medical terminology
  • Professional written and verbal communication skills directed to a variety of customers
  • Ability to react to frequent changes in duties and volume of work
  • Excellent internal and external customer service skills with the ability to remain calm, be patient and respond professionally to all requests
  • Ability to work in a team environment and to collaborate with a variety of professionals
  • Ability to maintain patient and employee confidentiality and HIPPA compliance
  • High School diploma or GED
  • One (1) year of prior experience performing release of information activities, patient access and/or scheduling and registration or direct patient care experience.

Responsibilities

  • Serve as a resource to customers regarding release of patient identifiable health information laws, rules, regulations and policies.
  • Follow statutory guidelines and other regulations to independently evaluate and respond appropriately to requests from individuals, families, legal representatives, insurance companies, healthcare providers or government agencies for the release of patient health information.
  • Monitor the ROI queue and completes work assignments.
  • Review incoming request for patient health information and screens for all required elements necessary to release information in accordance with state and federal laws.
  • Determine validity of authorization and/or type of request; and verifies patient or request or identity (as necessary and applicable).
  • Retrieve the correct and complete patient record from the electronic medical record (EMR) systems and other patient record sources in response to a valid request.
  • Ensure records are complete prior to release and contain no deficiencies and that patient health information is released only in accordance with state and federal laws and hospital and departmental policies and procedures.
  • Log requests, request status and information released into the electronic Release of Information system and as necessary, any other secondary systems.
  • Enter appropriate system FYI flags to alert clinicians of patient directives and trigger banner alerts throughout the EHR and scan applicable documents into the electronic health record.
  • Determine validity of authorization, request and documentation provided from legal entities (i.e., subpoena, subpoena duces tecum, power of attorney, deposition, affidavits, documentation from insurance companies, workers compensation, requests from patients, doctors and hospitals).
