About The Position

Cottage Hospital is seeking a friendly, organized, and detail-oriented Rehab Office Specialist to join our Physical Therapy Department on a per diem basis. In this role, you will serve as the first point of contact for patients receiving Physical, Occupational, Speech, and Cardiac Rehab services. This position plays a key role in supporting daily operations by coordinating patient scheduling, managing referrals, verifying insurance, and assisting with front desk and administrative workflows. The ideal candidate thrives in a fast-paced environment, communicates effectively with both patients and providers, and takes pride in delivering a smooth and positive patient experience. Responsibilities

  • Greet and register patients upon arrival
  • Verify demographic, insurance, and clinical information
  • Collect co-pays and ensure accurate documentation
  • Communicate patient arrivals to therapists via electronic systems
  • Enter referrals and patient data into Cerner and WebPT
  • Schedule therapy appointments and applicable testing
  • Track cancellations, no-shows, and schedule changes
  • Communicate with referring provider offices
  • Verify insurance coverage and authorization requirements
  • Track authorized visits, Medicare caps, and eligibility
  • Assist with charge entry and billing processes
  • Collaborate with therapists and Revenue Cycle team
  • Maintain office supplies and assist with correspondence
  • Participate in department meetings and trainings
  • Provide system support as a departmental resource when needed
