About The Position

The incumbent in this position serves as the Team Lead for the Board of Pharmacy and assists the Program Operations Administrator in performing Team Lead duties and tasks. The employee in this position performs complex administrative duties and independently reviews and evaluates applications within the board office. This individual performs assignments that require a high level of independent judgement with an attention to detail all which must be performed within specified deadlines. The incumbent must be able to interpret Florida laws and rules. This position is supervised by the Program Operations Administrator.

Responsibilities

  • Assists with the development and finalization of the agenda for board and committee meetings.
  • Responsible for pre-board meeting activities to ensure completeness of the record and redaction of confidential information including review of: agenda materials, disciplinary and probation cases, licensee application files, all administrative items and reports to be considered at board and committee meetings.
  • Responsible for ensuring that all agendas, addenda, and any supplemental materials are copied and assembled correctly and distributed in compliance with mandated time frames.
  • Responsible for ensuring updates to the board’s web page with Orders on Petition for Declaratory Statement, as directed by the Executive Director.
  • Responsible for publishing meeting notices in the Florida Administrative Register.
  • Responsible for preparing the public agenda book for board and committee meetings.
  • Responsible for notifying respondents, applicants, and their respective counsels of board appearance dates and ensuring that notification is completed within the required timeframes.
  • Communicate with the public and attorneys verbally and in writing.
  • Assists PSU with the coordination of probable cause panel meeting dates and panel members.
  • Incumbent independently performs the administrative duties associated with the meetings; attends and keeps minutes of the meetings; posts all public probable cause agendas and public books to the Board website; ensures all closing orders have been signed by the Executive Director.
  • Responsible for all post board meeting activities including processing all Final Orders and ensuring the proper violation and closure codes have been added along with any supplemental documents required and filed with the agency clerk in a timely manner.
  • Responsible for posting minutes and audio recordings of public board/committee meetings to the board’s web page.
  • Responsible for the data entry and accuracy for Board Cost.
  • Responsible for working with the Web Support Department to ensure all meeting dates, locations and times are posted to the appropriate meeting tabs; ensure staff and board contact information is up to date and any other website maintenance as needed.
  • Responsible for preparing all travel authorizations and reimbursement forms for board staff and board members in the Go travel System.
  • Responsible for ensuring the Board member contact list is accurate at all times.
  • Responsible for coordination with Bureau of Operations for the selection of meeting accommodations, board member and board staff accommodations, court reporter, and any other times required to conduct board or committee meetings.
  • Responsible for preparation of the yearly meeting calendar, which contains board, committee, department, and association meeting dates and deadlines, and informing board and PSU staff of impending deadlines for submission of material for board meetings.
  • Independently reviews and evaluates certification applications for pharmacists which include immunization, test and treat, and collaborative practice certifications.
  • Performs other duties as assigned.
