About The Position

The Department of State, Division of Corporations, Bureau of Commercial Recording is seeking a Regulatory Specialist II. This is an internal agency position within the Career Service pay plan.

Requirements

  • High School Diploma or equivalent.
  • One (1) year clerical experience of which six (6) months experience with statues, rules or government regulations.
  • Knowledge of Florida statutory requirements for Notaries Public.
  • Ability to provide consultative assistance to others.
  • Ability to plan/organize/coordinate work activities.
  • Ability to communicate effectively with people, both verbally and in writing.
  • Ability to establish and maintain effective working relationships.
  • Ability to review filing for statutory compliance.
  • A Level 2 criminal background check is a condition of employment. If selected for this position, you must provide your fingerprints. We will send your fingerprints to the Florida Department of Law Enforcement and the Federal Bureau of Investigation for a criminal background check.

Nice To Haves

  • Knowledge of Florida statutory requirements for Notaries Public.
  • Experience responding to public inquiries by telephone.

Responsibilities

  • Examines Notary filings for compliance with statutory and case law filing requirements, and ensuring all fees required are collected.
  • Approves the filing or identifies the defects and deficiencies.
  • Determines if defects and deficiencies can be updated through supplemental submissions.
  • Communicates with clients verbally and in writing to assist in clarifying and correcting the defects and deficiencies.
  • Receives and responds to phone and email inquiries from the public with questions regarding notary filings and procedures.
  • Maintains records and statistics of filings received or approved utilizing a complex interactive computer database.
  • Adds, deletes or updates computer records in accordance with the office standards, policies and procedures.
  • Generates correspondence and/or certificates in accordance with office policies and procedures.
  • Performs other work-related duties as required.
