About The Position

The Division of Hotels and Restaurants (H&R) licenses, inspects, and regulates public lodging and food service establishments in Florida under Chapter 509, Florida Statutes (FS). The division also licenses and regulates elevators, escalators and other vertical conveyance devices under Chapter 399, FS. The division’s three bureaus – Sanitation and Safety Inspections, Licensing and Elevator Safety – comprise a team of approximately 358 personnel fulfilling the regulatory obligations of the division throughout the state. Our Mission is to protect the health and safety of the public by providing the industry with quality inspections and fair regulation. The Regulatory Specialist II is a career service position located within the Division's Bureau of Sanitation and Safety Inspections, Bureau Chief’s Office. This position is responsible for performing regulatory administrative duties pertaining to answering phones and handling inquiries from the public, field offices and other state agencies, independently reviewing and researching incoming complex plan review applications for completeness prior to profiling into Versa: Regulation; ensuring proper protocols are followed for check handling and processing; opening, sorting, and delivery of incoming division mail; ensuring temporary event receipt books are processed and temporary event receipt books database is accurately maintained; ensuring emergency closure documentation is processed with expediency and accuracy.

Requirements

  • Customer service experience assisting customers in person, through correspondence, and on the telephone
  • General computer experience including the use of Microsoft Office Suite (i.e. Word, Excel, Access, Outlook)
  • Ability to understand and apply applicable rules, regulations, policies and procedures
  • Ability to deal with the public in a tactful and courteous manner
  • Ability to plan, organize, and coordinate work assignments
  • Ability to perform data collection, word processing, email, licensing, internet applications and other technology required by the department, including but not limited to Versa: Regulation and OnBase.

Responsibilities

  • Independently reviewing and researching Plan Review applications prior to profiling into Versa: Regulation.
  • Utilizes various tools to assist with the research and profiling of applications, including but not limited to departmental imaging software, mapping search engines, etc.
  • Interacts with personnel from the division, department and industry to obtain information needed to assist in profiling of applications.
  • Provides customer service (i.e., telephone inquiries, electronic mail box inquiries, customer window assistance), performs special assignments, research and report preparation as needed.
  • Monitors and assists with answering phones and handling inquiries from the public, field offices and other state agencies.
  • Receives and answers inquiries and provides information which may involve explanation of policies and procedures.
  • Refers a variety of industry and district requests to the appropriate district/department for assistance.
  • Compiling necessary documents for submission to Central Intake Unit.
  • Ensuring plan review related documents are imaged and filed accurately.
  • Verifies that all incoming checks are logged into the Central Intake Unit check database and taken to Central Intake Unit in a timely manner.
  • Ensuring proper protocols are followed for check handling and processing.
  • Serves as liaison between the division and Mailroom (drop-off and pick-up), ensuring items in district mail bins are assembled and packaged for daily distribution.
  • Receives all confidential material for the Bureau and distributes appropriately.
  • Opening incoming mail for the Division to determine the appropriate route for processing.
  • Ensuring incoming mail is time/date stamped and delivered to the appropriate personnel in a timely manner; assists/tracks certified mail as directed.
  • Utilizes the current statewide and global courier sevice for timely and cost effective delivery of packages when appropriate.
  • Maintenance of the temporary event receipt book database.
  • Accurately tracks receipt book information and locations, fulfills receipt book requests from the district offices in a timely manner.
  • Logs all incoming used receipt books and records all pertinent information accurately.
  • Assists with the coordination and archiving of used temporary event receipt books into Access and coordinates with the Department Records Technician for retrieval and storage.
  • Serves as back-up to the Government Operations Consultant I as needed in processing emergency closures and weekly media report for the Director.
  • Performs related work as required.
