About The Position

The Division of Hotels and Restaurants (H&R) licenses, inspects, and regulates public lodging and food service establishments in Florida under Chapter 509, Florida Statutes (FS). The division also licenses and regulates elevators, escalators and other vertical conveyance devices under Chapter 399, FS. The division’s three bureaus – Sanitation and Safety Inspections, Licensing and Elevator Safety – comprise a team of approximately 358 personnel fulfilling the regulatory obligations of the division throughout the state. Our Mission is to protect the health and safety of the public by providing the industry with quality inspections and fair regulation.

Requirements

  • Two years of general office experience to include customer service experience and experience with Microsoft Office Suite (i.e. Word, Excel, Access, Outlook).
  • Ability to answer busy multi-line telephone
  • Ability to communicate effectively, verbally and in writing
  • Possesses good computer skills
  • Ability to organize and coordinate work assignments
  • Skilled in using various Microsoft programs including, Word, Access and Excel
  • Ability to interpret statutes and rules
  • Ability to evaluate and make decisions on licensure issues

Responsibilities

  • Process, track, and maintain district records and files.
  • Research reports, licenses and other related inquiries.
  • Perform technology duties including extensive knowledge and use of agency software using Versa: Regulation and OnBase.
  • Respond to complaints and inquiries from the public.
  • Prepare and process legal documents, including tracking compliance mail receipts/hand service and providing the Settlement Officer proof of service for each case.
  • Maintain compliance log.
  • Prepare and maintain files as needed.
  • Perform document imaging of all documents using On-base.
  • Create files as assigned.
  • Input data, scan reports, file inspection reports, and retrieve and copy files as needed.
  • Perform technology duties, including computer software and hardware, data systems and Versa: Regulation.
  • Maintain computer logs as directed.
  • Prepare a print-out of all computer logs as requested by the District Manager.
  • Maintain back up files of all tracking systems.
  • Answer a busy multi-line telephone and distribute messages/complaints to employees.
  • Research or refer questions about inspection reports, license status or related inquiries.
  • Answer information calls accurately.
  • Assist with taking and logging complaints and service requests; refer them to appropriate personnel.
  • Open and date stamp all incoming mail.
  • Distribute mail to the proper section or employee.
  • Prepare and mail all outgoing mail.
  • Process Certificate of Balcony Inspections by date stamping, copying, and returning stamped copies to the operators.
  • Track food borne illness complaints.
  • Notify the appropriate Department of Health personnel, if applicable, of the complaint.
  • Log complaints and notify inspector.
  • Assist with preparation of district correspondence, and the preparation of recurring and special reports.
  • Maintain special files for the district as directed.
  • Perform assigned duties of the AAII in their absence, including the handling of revenue.
  • Perform other work as required.
