About The Position

The successful candidate is an enthusiastic, hardworking individual who would like to work within our Environmental, Indigenous, and Regulatory Litigation Practice Group. The regular working hours for this role are Monday – Friday, 8:30am – 4:30pm.

Requirements

  • Post-secondary education in legal administration is required.
  • Minimum of five years of legal assistant experience, preferably in an Environmental, Indigenous, and Regulatory Litigation practice group.
  • Experience with the Alberta Utilities Commission, Alberta Energy Regulator, Canada Energy Regulator, or another provincial or federal regulator is strongly preferred.
  • Experience providing legal assistant support for matters before the Alberta Court of Appeal and Alberta Court of King’s Bench is an asset.
  • Knowledge and understanding of the Alberta Rules of Court, litigation procedures, court filing requirements, and related legal processes is considered an asset.
  • Experience with legal drafting, document preparation, document formatting, and proofreading.
  • Knowledge of e-discovery processes and e-discovery software is considered an asset.
  • Strong technical proficiency with Microsoft Office applications, document management systems, network storage systems, PDF software, and other legal technology resources.
  • Ability to manage multiple priorities, deadlines, and competing demands in a fast-paced professional environment.
  • Excellent verbal and written English communication skills.
  • Strong attention to detail, organizational skills, and commitment to producing high-quality work.
  • Ability to exercise discretion, sound judgment, and confidentiality when handling sensitive information.
  • Ability to work independently while contributing positively to a collaborative, team-oriented environment.

Responsibilities

  • Edit, proofread, format, and finalize legal documents, correspondence, regulatory submissions, court materials, memoranda, and other documents to ensure accuracy, consistency, proper citation formatting, and compliance with applicable document management and filing protocols.
  • Prepare template documents, including legal correspondence, regulatory and court submissions, memoranda, affidavits, binders, and other matter-related materials.
  • Incorporate handwritten and electronic revisions from lawyers, clients, experts, and other professionals throughout the drafting and review process.
  • Prepare, file, and serve regulatory and court documents accurately and within required deadlines, including electronic and hardcopy filings where applicable.
  • Prepare affidavits of service and coordinate service of documents on affected or interested parties, regulators, courts, and other stakeholders, as required.
  • Assist with hearing, application, and proceeding preparation, including organizing exhibits, preparing witness and hearing binders, coordinating materials, attending hearings, and supporting related logistics.
  • Monitor and maintain regulatory proceeding records in accordance with firm document management protocols, and keep lawyers and clients informed of key updates, deadlines, and next steps.
  • Diarize and manage proceeding deadlines, hearing dates, filing requirements, and related calendar entries for lawyers, clients, and experts.
  • Coordinate and schedule client meetings, regulatory meetings, hearings, and internal team meetings, whether virtual or in person, including arranging meeting rooms, food service, materials, and technology support, as required.
  • Draft meeting agendas, prepare meeting minutes, and attend team, client, and professional meetings as required.
  • Correspond with clients, experts, regulators, courts, and other parties, including circulating document drafts, consolidating revisions, confirming filings, and providing updates as instructed.
  • Conduct research on regulatory-related topics, regulator websites, company websites, filing requirements, and procedural matters, as required.
  • Perform other legal assistant duties and tasks assigned.
  • Open new matters in accordance with firm policies and procedures.
  • Enter lawyer’s time, prepare expense reports, and assist with billing-related tasks, as required.
  • Schedule non-matter-related appointments, meetings, reservations, and calendar entries for lawyers and team members.
  • Register lawyers and legal service providers for conferences, continuing legal education programs, and other professional development events.
  • Arrange travel for lawyers and team members, as required.
  • Maintain regular and predictable attendance.
  • Work overtime when required to meet deadlines and fulfill job responsibilities.
  • Perform other administrative and office support duties as assigned.
