About The Position

The Licensing and Regulatory Specialist manages state registrations, permits, and licenses for regulated products and oversees required regulatory reporting across multiple jurisdictions. This role maintains accurate compliance records, coordinates audits, and ensures adherence to evolving state regulations. The specialist supports departmental initiatives, collaborates closely with team members, and contributes to a culture of teamwork and open communication while managing multiple priorities and deadlines.

Requirements

  • 1-3 years of office experience preferred, including administrative, compliance, regulatory, or data-focused responsibilities.
  • Proficiency in Microsoft Excel, including data management, reporting, and analysis.
  • Strong data entry skills with exceptional accuracy and attention to detail.
  • Experience managing large datasets and maintaining accurate records.
  • Strong customer service and communication skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Excellent organizational skills with the ability to maintain compliance-related documentation and records.
  • Ability to learn and interpret state regulatory requirements and compliance standards.
  • Strong teamwork and collaboration skills with a commitment to professional communication.

Nice To Haves

  • Experience with Power BI is a plus.
  • Previous experience supporting audits, inspections, or compliance reviews is preferred.
  • Experience working in a corporate or large-scale business environment is a plus.
  • Interest in developing expertise in regulatory compliance, licensing, and state reporting requirements.

Responsibilities

  • Manage state registrations, permits, and licenses for regulated products, ensuring approvals, renewals, and cancellations are completed accurately and on time.
  • Prepare and submit required regulatory reports to state agencies on a quarterly, semi-annual, and annual basis using sales and operational data.
  • Coordinate and support regulatory audits by gathering documentation, responding to inquiries, and facilitating a smooth review process.
  • Maintain departmental records and files, ensuring regulatory documents, reports, and correspondence are organized, current, and readily accessible.
  • Handle correspondence and follow-up related to registrations, licenses, audits, and regulatory inquiries in a timely and professional manner.
  • Obtain new licenses and cancel existing licenses as needed, ensuring all updates are properly documented and communicated.
  • Maintain and expand knowledge of applicable state regulations, monitor proposed regulatory changes, and assess potential business impact.
  • Identify regulatory trends or changes that could affect operations and communicate relevant updates to stakeholders.
  • Foster a collaborative team environment through effective communication, mutual respect, and openness to diverse perspectives.
  • Prioritize projects and deliverables to meet established timelines while effectively balancing multiple responsibilities.
  • Provide support to other team members and contribute to departmental goals and workload coverage as needed.
  • Utilize Microsoft Excel and related tools for data management, reporting, recordkeeping, and regulatory tracking.
  • Deliver professional customer service when interacting with internal stakeholders, external partners, and regulatory agencies.
