About The Position

This position performs Supervisor duties in addition to performing registration/scheduling clerk activities. The role involves coordinating staffing, evaluating and coaching staff performance, monitoring compliance with procedures, and actively participating in team-oriented decision-making. The supervisor will maintain current knowledge of registration duties, EMR, and processes, and foster a team approach to deliver exceptional patient experience. They may need to function in any registration role to ensure coverage and resolve issues through cooperation with other departments. As the Epic Certified Trainer, this role will support training new hires on Epic and other registration software, policies, and procedures, and provide ongoing user support for upgrades and system changes.

  • Must be able to provide ongoing user elbow support to ensure compliance and understanding of registration/scheduling duties.
  • Must be able to answer the phone and appropriately schedule, preregister, and educate the patient and obtain all necessary information from the patient.
  • Must be able to obtain necessary information likely includes necessary referring provider information, for example physician orders and properly including in the health record.
  • Must be able to assist to appropriate department or answer non-patient questions.
  • Must ensure the patient or guardian understands and signs consent, insurance, and other required forms.
  • Must compile and distribute information regarding personal, insurance and financial status.
  • Must provide appropriate information to billing and other departments.
  • Must complete necessary components of patient information in the Hospital’s information system and arrange for patient care including transport to room if necessary.
  • Must greet and assist non-patient visitors to the appropriate areas.
  • Must verify insurance benefits with insurance companies and document verification in each file and/or in electronic record, as appropriate.
  • Must check to ensure that pre-certification or other necessary authorizations are obtained and documented appropriately.
  • Must follow up on obtaining the pre-certification or other necessary authorizations that were not obtained at the initial point of registration.
  • Must communicate with patient and/or appropriate representative on estimated financial liability including computation of estimate third party (insurance) benefits and further financial counseling for those individuals needing assistance with financial options.
  • Must be educated on outside assistance available and has or is aware of appropriate contacts and makes referrals to Medicaid and other outside financial assistance agencies for patients who meet established criteria.
  • Must contact physician’s offices as appropriate regarding scheduling services.
  • Must attend mandatory in services, department meetings and other in services applicable to the department.
  • Must participate in educational programs and meetings as needed and required.
  • Must develop a proactive mind set towards the job.
  • Must observe opportunities for improvement, formulate ideas, communicate those ideas with their supervisors and/or staff, carry out variations in work habits in continuous quality improvement.

  • Must be knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse.
  • Must bring any questions or concerns regarding compliance to the immediate attention of hospital administrative staff.
  • Must take appropriate action on concerns reported by department staff related to compliance.
  • Must assist with adhering to standards, procedures and goals relating to the Compliance Program.
  • Must report conduct that is known or suspected to be illegal or in violation of hospital policies.
