About The Position

Human Resources announces an opening for a full-time, 12-month (260-days), Grade G-11 Registration Services Technician. This position provides information to parents/guardians concerning school admission and placement requirements, policies, processes, and procedures, guiding them through registration. The role involves verifying that registration documents comply with requirements, ensuring their adequacy, completeness, and accuracy. It also provides English-Spanish interpreter/translator services and helps coordinate services in other foreign languages. The technician registers students, manages student records, and trains school-based registration staff. Additionally, the role provides daily support, performs general administrative assistance, communicates effectively with staff and parents, and utilizes various computer software and systems. Driving to school sites may be required.

Requirements

  • Knowledge of Federal requirements governing student enrollment in US public schools.
  • Knowledge of, and skill in, applying Virginia and APS requirements governing student admission and placement, or ability to rapidly acquire this knowledge/skill set.
  • Knowledge of generally-accepted principles, methods, and techniques of administrative assistance of a general office nature, and knowledge of, or ability to rapidly acquire knowledge of, APS-specific administrative assistance/secretarial/clerical policies, processes, and procedures.
  • Knowledge of, and skill in, modern, standard business English.
  • Skill in problem solving to select, organize, and logically process relevant information.
  • Skill in written communication in English and Spanish.
  • Skill in oral communication in English and Spanish.
  • Interpersonal skills to interact effectively with contacts in a businesslike, customer service-oriented manner.
  • Skill in using a computer, modern office suite software (such as MS Office), enterprise software, and specialized software.
  • Ability and willingness to work in a 'fluid environment' under pressure of changing priorities, deadlines, and peak periods.
  • Proof of fluency (oral and written communication) in English and Spanish is required.
  • As assigned, a valid driver’s license is required.

Responsibilities

  • Provides information to parents/guardians concerning school admission and placement requirements, policies, processes, and procedures, and guides them through registration.
  • Verifies that registration documents comply with requirements, ensuring their adequacy, completeness, and accuracy.
  • Provides English-Spanish interpreter/translator services and helps coordinate translation and interpretation services in other foreign languages.
  • Registers students; generates, opens, organizes, and manages new/returning student records.
  • Trains school-based registration staff in central registration processes and provides daily support.
  • Performs administrative assistance of a general office nature, including maintaining time and attendance records, processing leave requests, and verifying leave data with payroll.
  • Generates routine memos and letters, maintains clerical records, and prepares reports.
  • Greets callers and visitors, ascertains and responds to their needs appropriately.
  • Determines files required by policy/procedure and ensures filing, archiving, and destruction timetables are followed.
  • Initiates or approves orders for office supplies and ensures an adequate inventory.
  • Reviews incoming correspondence and materials for items of interest to the supervisor or other staff.
  • Develops, or helps develop, presentations, spreadsheets, etc.
  • Types and proofreads documents, ensuring proper format and business English.
  • Communicates and interacts effectively with staff, parents/guardians, listening actively to ensure their wants/needs/concerns are heard and met.
  • Uses a computer and modern office suite software, enterprise systems/software, and specialized systems/software.
  • May drive to school sites when the need arises.
