About The Position

Human Resources announces an opening for a full-time, 12-month (260-days), Grade G-11 Registration Services Technician. This position involves providing information and guidance to parents/guardians regarding school admission and placement requirements, verifying registration documents for accuracy and compliance, and offering English-Spanish interpreter/translator services. The role also includes registering students, managing student records, training school-based registration staff, and providing help desk support. Additionally, the technician will perform general administrative tasks such as maintaining attendance and leave records, processing requests, generating correspondence, managing files, ordering supplies, and preparing reports. Effective communication and interaction with staff, parents, and guardians are essential, requiring active listening to address stakeholder needs. The position requires proficient use of computer software, including modern office suites, enterprise systems, and specialized software for various functions. Occasional travel to school sites may be necessary.

Requirements

  • Knowledge of Federal requirements governing student enrollment in US public schools sufficient to ensure compliance in the registration process.
  • Knowledge of, and skill in, applying Virginia and APS requirements governing student admission and placement, or ability to rapidly acquire this knowledge/skill set, to ensure compliance in the registration process.
  • Knowledge of generally-accepted principles, methods, and techniques of administrative assistance of a general office nature, and knowledge of, or ability to rapidly acquire knowledge of, APS-specific administrative assistance/secretarial/clerical policies, processes, and procedures.
  • Skill in problem solving to select, organize, and logically process relevant information to solve a problem.
  • Skill in written communication in English and Spanish to understand written information and express such information in writing.
  • Skill in oral communication in English and Spanish to understand verbal information and express such information verbally.
  • Interpersonal skills to interact effectively with contacts in a businesslike, customer service-oriented manner.
  • Skill in using a computer, modern office suite software (such as MS Office), enterprise software, and specialized software.
  • Ability and willingness to work in a ‘fluid environment’ under pressure of changing priorities, deadlines, and peak periods.
  • Proof of fluency (oral and written communication) in English and Spanish is required.
  • A valid driver’s license is required as assigned.

Responsibilities

  • Provides information to parents/guardians concerning Virginia and APS school admission and placement requirements, policies, processes and procedures, guiding them through registration.
  • Verifies that registration documents comply with requirements, ensuring adequacy, completeness, and accuracy in submitted forms and generated student records.
  • Provides English-Spanish interpreter/translator services and helps coordinate translation and interpretation services in other foreign languages.
  • Registers students; generates, opens, organizes, and manages new/returning student records.
  • Trains school-based registration staff in central registration processes.
  • Provides daily ‘help desk’ type support to school-based staff and users of student records.
  • Performs administrative assistance of a general office nature, including maintaining time attendance records, processing leave requests, maintaining leave records, verifying leave data with payroll, generating routine memos and letters, maintaining clerical records, preparing reports, greeting callers and visitors, determining and filing required documents, managing filing, archiving, and destruction timetables, initiating or approving orders for office supplies, ensuring adequate inventory, reviewing incoming correspondence, developing presentations and spreadsheets, and typing and proofreading documents.
  • Communicates and interacts effectively with APS/County staffs, parents/guardians, including active listening to stakeholders.
  • Uses a computer and modern office suite software for various applications, enterprise systems/software for requisitioning/purchasing, and specialized systems/software for performing other functions.
  • May drive to school sites when the need arises.
