About The Position

The Registration Assistant plays a key role in supporting the efficient processing and management of registration- and membership-related activities. This position ensures applications, documents, inquiries, and service requests are handled accurately and within established internal benchmarks, contributing directly to organizational KPIs and service standards.

Requirements

  • Strong organizational skills and high attention to detail.
  • Ability to manage multiple tasks and self-prioritize workload in a high-volume environment.
  • Experience with administrative processes, document verification, and customer service.
  • Proficiency with Microsoft Outlook and cloud-based document systems (e.g., SharePoint).
  • Employees must reside in Ontario and can attend the College office as required.
  • Proof of COVID-19 vaccination required (minimum two doses).

  • Knowledge of regulatory bodies or registration processes is an asset

Responsibilities

  • Distribute applications throughout the day to ensure timely review by appropriate teams.
  • Validate application types for training appointments or licensure eligibility in Ontario.
  • Action physician training appointments, including new entries and modifications.
  • Notify internal stakeholders when additional review or follow-up is required.
  • Audit Medicine Professional Corporation applications for accuracy.
  • Manage incoming documentation via Outlook inboxes and SharePoint folders.
  • Verify documents are received from appropriate third-party sources.
  • Upload documents to the correct applicant profile within a two-day benchmark.
  • Ensure consistent document naming conventions and accurate email categorization.
  • Triage and respond to inbound portal messages in accordance with response-time KPIs.
  • Manage and action service requests related to membership (e.g., document copies, resignations, name changes).
  • Provide guidance and technical support to physicians navigating the portal.
  • Respond to phone inquiries from physicians and external stakeholders.
  • Make courtesy calls during annual renewal periods regarding outstanding requirements.
  • Handle sensitive or difficult conversations professionally, escalating when appropriate.
  • Create and monitor cases within physician profiles.
  • Support coordinators by gathering reports and documentation.
  • Conduct audits to ensure cases are completed and closed in a timely manner.
