About The Position

The Registrar is the operational hub of the Greenwich House Music School and often the first person that prospective students and families meet. Reporting to the Music School Director, the Registrar manages the full enrollment cycle, from answering inquiries and matching students with the right faculty and classes to processing registrations, tracking billing and payments, and building faculty schedules each term. The role keeps the school running day to day by reviewing faculty payroll submissions, producing weekly enrollment and monthly financial reports, supporting student recitals, and using enrollment data to help shape scheduling, outreach, and marketing. It suits an organized, detail-minded person who enjoys working with students, parents, and teaching artists and is comfortable balancing customer service with recordkeeping and reporting. Requirements

  • Bachelor’s Degree and experience with arts, education or nonprofit organizations.
  • Demonstrated proficiency in customer service, recordkeeping, reporting, and registration and management systems.
  • Ability to use Microsoft Excel for data tracking and analysis.
  • Understanding of the principles of arts education, musical instruments, and the performing arts.
  • Must be able to occasionally lift and carry items upwards of 25 lbs.
  • Proficient in Photoshop and Canva.
  • An enthusiastic learner and self-starter, with strong organization skills and an eye for detail.

Responsibilities

  • Provide excellent customer service to prospective and current students and people seeking information on private lessons, group classes, and ensembles.
  • Build faculty teaching schedules each term and communicate them to faculty before the term begins.
  • Place students with appropriate faculty and classes based on instrument, level, age, and availability.
  • Process registrations and manage the online registration system, including troubleshooting for students.
  • Maintain records of inquiries, enrollment, billing and payments.
  • Analyze data to inform scheduling, outreach and marketing efforts.
  • Serve as the first point of contact for student, family, and faculty concerns, including scheduling conflicts, make-up lessons, issues and withdrawals, and escalate to the Director as appropriate.
  • Communicate in a timely manner with students, parents and faculty on lesson, teacher, and scheduling issues.
  • Review faculty payroll submissions and address accuracy and timeliness issues.
  • Prepare weekly enrollment reports and monthly financial reports.
  • Provide support to all student recital programs, including coordinating recital sign-ups, preparing programs, communicating logistics to families and faculty, and being present at afternoon, evening and weekend events when needed.
