About The Position

Under general supervision, the purpose of this position is to perform school-based duties associated with registering, withdrawing, and maintaining electronic student records for a career and technical center. This role involves assisting students with applications, testing, and registration, managing student records in CampusVue, and handling various administrative tasks related to student information. The position also requires providing front desk support, ensuring a calm and solution-focused environment for students, families, and staff.

Requirements

  • High School diploma or GED.
  • Up to two (2) years previous experience and/or training involving clerical or secretarial work.
  • Any equivalent combination of related education, training and experience which provides the required knowledge, skills and abilities to perform the essential job functions.
  • Ability to evaluate, audit, deduce, and/or assess data and/or information using established criteria.
  • Ability to exercise discretion in determining actual or probable consequences, and in referencing such evaluation to identify and select alternatives.
  • Ability to provide guidance, assistance, and/or interpretation to others on how to apply procedures and standards to specific situations.
  • Ability to start, stop, operate and monitor the functioning of equipment and materials.
  • Ability to utilize a wide variety of reference, design, descriptive, legal, advisory and consulting data and information.
  • Ability to perform addition, subtraction, multiplication and division; calculate decimals/percentages.
  • Ability to apply principles of rational systems.

Responsibilities

  • Responds to internal and external customers in a timely, accurate, courteous and empathetic manner.
  • Assists students with applying, testing, and registering for the technical center.
  • Assists students with generating email accounts.
  • Inputs and updates student records in CampusVue.
  • Maintains student industry certification and job placement data in CampusVue.
  • Generates and verifies student transcripts and certificates.
  • Collects tuition or other monies, based on area of assignment.
  • Fulfills historical transcript requests.
  • Administers state-required tests.
  • Assists teachers with electronic record keeping in CampusVue.
  • Assists database coordinator with FTE error reports.
  • Assists guidance counselor with student recordkeeping functions.
  • Maintains a filing system for all student-related records.
  • Answers the telephone to provide assistance and information to the public.
  • Greets and assists visitors and staff members.
  • Maintains a professional atmosphere in the office.
  • Operates a variety of machinery, equipment, and tools associated with department activities, which may include a postage machine, fax, scanner, and copier.
  • Responsible for timely and accurate reporting.
  • Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS.
  • Attends training to ensure skill level in various technologies is at the level required to perform in current position.
  • Provides front desk coverage to offer calm, empathic, and solution-focused support to students, families, and staff during peak afternoon and early-evening hours.
