The Bone Marrow Transplant (BMT) Coordinator is responsible for the coordination of the evaluation and preparation of patients for Hematopoietic Stem Cell transplantation (HSC) and cellular therapies. This role involves coordinating patient care across outpatient clinics, inpatient nursing units, and the community to ensure continuity of care. Independent thinking, problem-solving, and innovation are required to address complex issues and apply appropriate interventions. The BMT Coordinator serves as a clinical resource for team members, patients/families/caregivers, referring case managers, and community clinicians, with supervision provided by the BMT Program Manager and physicians. Strong organizational skills and problem-solving abilities are essential for independently planning daily schedules, prioritizing clinical issues, and managing multiple patients through various stages of the transplant/cellular therapy process. The role also involves aiding other program staff and participating in program development, research, and educational activities. The BMT Coordinator must possess knowledge of the management and care of patients with hematologic malignancies and other diseases treated with HSC transplantation and cellular therapies, including disease pathophysiology, diagnostic testing, treatment eligibility, conditioning regimens, immunosuppressive regimens, side effects, and supportive care protocols. Additionally, knowledge of evaluation and eligibility criteria for autologous, related, and unrelated donors, as well as cell collection methods, side effects, and management is required.

Requirements

  • Bachelor’s degree in nursing
  • RN License in the State of Florida, renewed every 2 years
  • Maintains current BLS/Healthcare Provider certification
  • One (1) year of oncology experience
  • Excellent communication skills (written and verbal) and ability to work cohesively within teams
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook)

Responsibilities

  • Coordinates and promotes the clinical activities of adult autologous and allogeneic HSC transplantation, and other cellular therapies.
  • Schedules patient appointments with referring physicians, obtaining necessary demographic, financial, and medical information, and providing written notification.
  • Conducts pre-treatment interviews with prospective transplant/cellular therapy patients and families, interpreting eligibility criteria and obtaining medical and social histories.
  • Conducts donor searches and interprets Human Leukocyte Antigen (HLA) testing results for recipients and donors, assisting in identifying the best donors.
  • Schedules and coordinates pre-treatment testing for potential HSCT/cellular therapy candidates and/or donors, providing written notification.
  • Conducts pre-treatment evaluation of donors with the provider and educates them regarding the collection method.
  • Works closely with Transplant Financial Coordinators and Case Managers to ensure insurance authorization for all transplants and cellular therapies.
  • Prepares and analyzes pre-treatment clinical data and collaborates with other medical personnel in preparing patients and families for transplantation and cellular therapies.
  • Interacts with patients, families/caregivers, nurses, pharmacists, social workers, and physicians to provide and facilitate care.
  • Educates patients, families/caregivers, and donors regarding all aspects of transplantation/cellular therapy and serves as their advocate.
  • Contributes to the collaborative development of the weekly transplant admission schedule, considering patient priority status and availability of resources.
  • Participates in HSCT patient care conferences, working closely with outpatient/inpatient medical, nursing, and support staff.
  • Provides back-up support to peers (BMT coordinators).
  • Provides telephone consultation and follow-up support to patients and their families, recognizing and assessing patient problems and symptoms, and applying appropriate medical interventions.
  • Coordinates and communicates with the BMT Social Worker regarding insurance and disability forms for HSCT patients.
  • Documents appropriately in the EPIC EMR System.
  • Supports the enrollment of transplant and cellular therapy patients in clinical trials by working collaboratively with Research Coordinators.
  • Fosters continued BMT and cellular therapy research by complying with requests for patient schedules that accommodate research trials and providing data.
  • Completes training required by the Carbone Cancer Center and consents patients to trials involving the Center for International Blood and Marrow Transplant Research (CIBMTR) or procurement of unlicensed umbilical cord blood units.
  • Completes paper or electronic data reporting forms for the CIBMTR and the National Marrow Donor program as needed.
  • Participates in teaching activities within OHCI for interdisciplinary team members and students, and in the community for professional groups and referring practices.
  • Assures appropriate orientation and training for new transplant coordinators.
  • Maintains knowledge of current practices in transplantation/cellular therapy, oncology, and hematology.
  • Identifies professional strengths and areas for growth and demonstrates professional development.
  • Participates in professional organizations in the area of hematopoietic stem cell transplantation/cellular therapy and other areas of professional interest.
  • Participates in local, regional, and national conferences on HSC transplantation or cellular therapies.
  • Presents a positive representation of corporate and departmental services.
  • Contributes to departmental effectiveness by reporting to duty on time, adhering to policy concerning breaks and mealtimes, and completing duties efficiently and effectively.
  • Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA, and other federal, state, and local standards.
  • Maintains compliance with all Orlando Health policies and procedures.
