About The Position

This is a non-supervisory position. The Regional Office Administrator is accountable for the safety, quality, and efficiency of their work. The Regional Office Administrator reports directly to the Traffic Control Regional Manager. The role involves administrative support, managing call logs and tickets, quoting sales, coordinating payments, processing time logs and other forms, assisting with new hire documentation, and generally supporting the Regional Manager and Crew Chief. The administrator is expected to work independently, demonstrate initiative, and maintain professional conduct.

Requirements

  • High School Diploma or equivalent
  • Valid Texas issued drivers license in good standing
  • 2 years experience in an administrative role or time as an Office Manager
  • Ability to accept direction and feedback from Supervisors and Management Team and follow through appropriately.
  • Must be a team player
  • Ability to adjust to changes in work tasks or environment and produce excellent results
  • Ability to read, understand and carry out written instructions and present questions when instructions are unclear
  • Ability to read, understand and carry out verbal instructions and present questions when instructions are unclear
  • Must maintain a positive attitude
  • Must be organized and maintain a neat and orderly desk and work area
  • Excellent data entry skills including accuracy and data entry speed of 50+ characters per minute.
  • Very proficient in Microsoft Office products to include Word, Excel, PowerPoint and Outlook
  • Able to work unsupervised and take initiative to complete necessary work even when it hasn't been specifically assigned.
  • Willing to work extended hours, days, and weekends if the mission requires it
  • Excellent communication skills
  • Solid understanding of the written English language by being able to use proper grammar, spelling, and business jargon in office correspondence and business emails
  • Proven background of excellent customer service and able to positively interact with customers face to face, over the telephone, and through electronic communication
  • Experience in the construction industry
  • Knowledge of safety standards: OSHA, State, and industry standards
  • Ability to sit or stand for extended periods of time while performing job functions.
  • Full range of body movements including the use of hands to fingers, handle equipment and tools.
  • Ability to bend the body, crouch, kneel and crawl to reach for objects.
  • Command of sight, hearing, and touch senses.
  • Vision must be able to discern colors, as well as depth perception.
  • Ability to lift 50 pounds with regularity.

Nice To Haves

  • Bachelor Degree in Business or Management
  • Experience in data entry
  • Experience in the Traffic Control industry (Prefer TCT or TCS certification)

Responsibilities

  • Arrive at Office and be prepared to work at the beginning of the shift
  • Answer all phone calls and greet visitors in a pleasant manner.
  • Enter all new call logs and tickets as quickly as possible within 24 hours of the request from branch manager, crew chief and/or customer.
  • Send all tickets to Lubbock daily.
  • Quote sales of inventory items and daily leases.
  • Understand customer credit and who is required to pay up front vs. those extended net 30 credit.
  • Coordinate credit card payments with Lubbock office.
  • Gather, verify and submit daily time logs turned in by the traffic control crews.
  • Gather and submit Task Hazard Analysis and Truck Inspection forms weekly.
  • Gather, verify and submit weekly all Accounts Payable and Credit Card receipts.
  • Coordinate new hire documentation to be submitted to HR Department.
  • Support and assist the Regional Manager and Crew Chief with administration duties as needed.
  • Recommend measures to improve efficiency, product quality, and safety
  • Notify supervisor of any quality or safety related concerns
  • Demonstrate initiative by evaluating situations, making decisions based on facts and solid judgments
  • Act in a manner that represents the professional manner reflecting the company's values and principles
  • Perform duties in an independent manner with little to no supervision
  • Arrive at meetings on time and prepared to participate
  • Maintain a cooperative working relationship with employees
  • Constantly look for and suggest ways to perform duties and responsibilities more effectively, what we call Act Like an Owner.
  • Perform other duties and tasks as may be assigned by the Regional Manager or Traffic Control Crew Chief.
  • Report any abuse of the Company's policies and procedures to Supervisor or other members of Management.
  • Enforce the Company's Safety Policies.
