Air Comfort Solutions of OKC is seeking a highly organized and detail-oriented Regional Drains Coordinator to join their growing team. This role is crucial for supporting regional drain and lining operations by coordinating schedules, equipment, crews, and customer communication. Requirements

  • 2+ years of experience in dispatching, scheduling, operations coordination, customer service, or administrative support preferred.
  • Strong organizational skills with the ability to manage multiple schedules, priorities, and deadlines.
  • Excellent verbal and written communication skills.
  • Ability to problem-solve and adapt quickly in a fast-paced environment.
  • Strong attention to detail and follow-through.
  • Customer-focused mindset with a professional and positive attitude.
  • Experience with scheduling, dispatching, CRM, or field service management software is preferred.
  • Proficiency in Microsoft Office Suite, including Excel, Outlook, and Teams.
  • Ability to work collaboratively with technicians, managers, and customers across multiple locations.

Responsibilities

  • Coordinate lining trailers and specialized drain equipment between locations to ensure resources are available where needed.
  • Work closely with Regional Service Managers to schedule drain and lining jobs across multiple markets.
  • Communicate with customers to confirm appointments, answer basic questions, and provide scheduling updates.
  • Coordinate and book hotel accommodations and travel arrangements for crews working outside their normal service area.
  • Maintain accurate records of lining trailers, equipment locations, upcoming jobs, and resource availability.
  • Ensure crews have the necessary job information, materials, and scheduling details before dispatch.
  • Communicate schedule changes and job updates between customers, crews, and Regional Service Managers.
  • Help manage and maintain an organized regional drain and lining schedule.
  • Monitor upcoming projects and proactively identify scheduling conflicts or resource constraints.
  • Follow up on active and completed jobs to ensure smooth execution and customer satisfaction.
  • Assist Regional Service Managers with day-to-day drain and lining operational needs.
  • Track material and payroll transfers between locations, ensuring proper documentation and accurate recordkeeping.
  • Maintain detailed job, equipment, and customer information within company software systems.
  • Support operational efficiency by helping coordinate equipment movement, technician availability, and job readiness.
  • Serve as a central point of communication between field teams, management, and customers to keep operations running smoothly.
