About The Position

The Community Builders (TCB) is a leading nonprofit real estate developer and owner dedicated to strengthening neighborhoods nationwide. The Regional Director of Property Management (RD), reporting to the Vice President of Operations, oversees the daily operations of multiple properties. This role involves mentoring site teams, ensuring they understand TCB's standard operating procedures, objectives, mission, and property-specific economic and physical needs. The RD ensures teams are equipped to meet or exceed occupancy, operating, and capital expense budgets, as well as customer service goals. Success is achieved through implementing global and portfolio programs, proactive planning, and financial management to optimize portfolio performance. The RD is fully accountable for mentoring, developing, and directing site teams to ensure consistent adherence to company standard operating procedures, foster career progression, and drive optimal performance.

Responsibilities

  • Mentor and provide site teams with a clear understanding of TCB's standard operating procedures, objectives, mission, and each property’s economic and physical requirements.
  • Ensure teams are equipped to achieve or exceed occupancy, operating and capital expense budgets, and customer service objectives.
  • Attain results through the successful implementation of global and portfolio programs, proactive planning, and financial management.
  • Mentor, develop, and direct site teams to ensure consistent adherence to company standard operating procedures, provide career progression, and achieve optimal performance.
  • Work with various departments within the organization and collaborate with the development team on pre-development pipeline projects, providing property management input and oversight.
  • Provide design review input based on experience for development projects.
  • Conduct regular scheduled and unscheduled visits to each property to assess curb appeal, inspect market-ready units, common areas, review occupancy/delinquency reports, and evaluate safety awareness.
  • Identify, attract, hire, and retain top talent in accordance with TCB staffing guidelines.
  • Be visible and participatory in local agency and industry organizations and events to build network and brand identity for TCB.
  • Build property teams and provide training, motivation, and direction for superior performance.
  • Supervise and manage the performance of all property management staff.
  • Mentor and develop a high-skills team for mentoring, takeover of new acquisitions, troubleshooting, and bench strength for portfolio and TCB growth plans.
  • Role-play and shadow team members to evaluate and improve resident experience during leasing tours, application completion, move-ins, recertifications, unit inspections, and resident orientations/meetings.
  • Identify and implement initiatives to increase team engagement.
  • Collaborate and partner with Community Life to implement programs and services that enhance the resident experience.
  • Mentor and audit teams to ensure consistent application of TCB standard operating policies & procedures, and all regulatory requirements and procedures, ensuring accuracy and compliance.
  • Maintain product knowledge on all properties and competitors through site visits and quarterly reviews of market competitive analysis.
  • Stay aware of potential new business opportunities.
  • Establish prospect leasing tour routes, prospect follow-up, and manage waiting lists to reduce vacant down days and increase physical occupancy.
  • Maximize occupancy by mentoring teams on product presentation, closing techniques, managing waitlists, rent increases, and competitive market knowledge.
  • Ensure teams understand, administer, and provide a suburb resident experience during move-in/move-out, unit inspections, and resident orientations.
  • Assist in new business acquisition and development by establishing operating expense benchmarks, leasing absorption plans, potential budgets, and staffing plans, as well as conducting physical site due diligence and start-up.
  • Lead and monitor teams to successfully prepare appropriate Agency reports timely and accurately, adhering to all management contracts and pertinent affordable programs, including state, local, national, and Fair Housing regulations.
  • Coordinate and attend NSPIRE inspections (minimum score of 80), agency or partner visits/audits (passing score), or other physical or administrative reviews.
  • Ensure reporting required by programs, regulatory agencies, and investors is timely and accurate.
  • Maintain files in compliance with all programs associated with the sites.
  • Establish responsive and responsible cross-functional relationships for the betterment of TCB through candid feedback, information, and recommendations.
  • Train staff and monitor each site’s work order process in Yardi, ensuring timely responses according to priority plans and TCB policy.
  • Review preventative maintenance program and logs quarterly.
  • Participate as a member in housing and related task forces within the municipality and work with stakeholders to address community and resident social and economic needs.
  • Collaborate on best practices across teams and ensure knowledge is leveraged across Property Management, Development, Community Life, and other departments.
  • Ensure all required weekly, monthly, and quarterly reports are completed accurately and in a timely manner.
  • Accountable for accurate financials and timely variance reporting.
  • Meet or exceed budgeted occupancy, remain within all operating and capital expense plans, and produce a minimum of budgeted cash flow.
  • Conduct monthly reviews of financial operating statements with Community Manager, Assistant Manager, and Service Manager to enhance knowledge, create efficiencies, and develop plans to meet or exceed budget goals, reforecast, and break even for properties.
  • Optimize Gross Potential Rent (GPR) to achieve and maintain each property's economic stability, budget, and produce cash flow.
  • Facilitate unit turns in a cost-effective manner, aiming for a maximum of a 5-day turn with a market-comparable end product.
  • Evaluate all operating expense line items to determine more efficient, cost-effective strategies while promoting opportunity contracting.
  • Review Yardi to confirm invoices are processed timely and on budget.
  • Implement and train teams on effective cost control methods, revenue maximization, bid solicitation, and delinquency management.
  • Identify methods and develop strategies for cost control, revenue maximization, bid solicitation, and delinquency management in monthly reviews of the Statement of Operations (SoO).
  • Mentor and lead site teams in the preparation of annual budgets that produce optimal performance.
  • Confirm that financial reports accurately reflect the fiscal operation and condition of the sites and are submitted timely with a plan and metrics to correct any deficiency or measure performance.
