About The Position

Emergency Medical Care Inc. (EMC) is a subsidiary of Medavie Health Services (MHS) that manages and operates ground ambulance, air medical transport, and medical communications in Nova Scotia. EMC also operates TeleHealth/811 medical communications for Nova Scotia and Prince Edward Island. The organization serves all communities in Nova Scotia with a fleet of over 180 ambulances and support vehicles operating from more than 60 stations, responding to over 165,000 calls annually. The EHS Operations LifeFlight program enhances accessibility through critical care teams via helicopter, fixed-wing, or ground ambulance. EMC paramedics are involved in various urban and rural programs, including community-based paramedic programs, collaborative emergency centres, and emergency preparedness. This Regional Administrative Assistant position reports to the Regional Manager and is crucial for the efficient and effective management of the Regional Office, ensuring timely and appropriate handling of inquiries and administrative issues for the Regional Manager, Supervisors, and Fleet/Physical Resources Supervisor. The role provides administrative and support services within the Regional Office and emphasizes participation in and support of all safety-related initiatives, fostering a culture of patient safety and a safe workplace.

Requirements

  • Minimum Grade 12 and one-year business college course and five years related experience or equivalent combination of education and experience.
  • Proficiency in Microsoft office including Word, Excel, Access, PowerPoint, and Outlook, etc.
  • Require a valid Nova Scotia driver's license.
  • Demonstrate excellent organizational and time management skills.
  • Demonstrate a high level of professionalism and discretion, with the proven ability to handle sensitive and confidential information appropriately.
  • Ability to work well under pressure, often under strict time deadlines.
  • Ability to self-direct and work at times without direct supervision.
  • Require superior diplomacy and interpersonal skills in dealing with difficult situations.

Nice To Haves

  • Knowledge of policies, structure and functions of internal administrative systems and practices applicable to the Public Health System is considered an asset.
  • Prior experience working with databases and knowledge of medical terminology is an asset.

Responsibilities

  • Assist with day-to-day operations of the office/region.
  • Order office supplies, arrange meetings, venues, catering.
  • Attend meetings as required and capture meeting minutes.
  • Assist departments with accurate reporting of (including but not limited to) facility issues, pharmaceutical expiries, generator reports etc.).
  • Maintain Sharepoint for Operations Paramedics and leadership for the region.
  • Create staff files and folders and manage the online Staff Tracker.
  • Upload all correspondence and employee documents.
