This role is responsible for obtaining insurance authorization, coordinating patient referrals to specialists, and maintaining accurate data entry of all referrals. The specialist will verify documentation, assemble patient information, provide clinical information to specialists, call patients with appointment details, and document all stages of the referral process. The position requires adaptability, adherence to corporate communications, punctuality, willingness to assist colleagues, understanding of departmental policies, completion of required training, and a strong adherence to professional conduct. A professional and positive attitude is expected, along with supportive and understanding behavior towards patients, providers, and employees. Compliance with HIPAA and OSHA regulations, as well as St. Joseph’s Physicians employee handbook policies, is mandatory. The role involves performing duties as part of the practice care team, participating in team huddles and meetings, and contributing to quality improvement initiatives and patient-centered medical home standards. Other duties as required or requested will also be part of the responsibilities.

Requirements

  • High School diploma or equivalent.
  • Knowledge of practice management computer systems (e.g., EPIC).
  • Demonstrated ability to work independently and as a team.
  • Knowledge of general office machines and telephone system.
  • Familiarity with identification of medical documents.
  • Ability to work well under pressure and within tight deadlines.
  • Ability to multitask and adapt to shifting priorities.
  • Maintain high degree of discretion when dealing with confidential information.
  • Detail oriented.

  • Experience in an office environment and/or health care setting helpful.

Responsibilities

  • Obtain insurance authorization from patient’s insurance company via phone, fax, or online.
  • Coordinate patient referrals to specialists as requested by providers.
  • Enter and maintain accurate, comprehensive data entry of all referrals into the database.
  • Verify all pertinent documentation has been provided for the type of referral requested.
  • Assemble information concerning patient's clinical background and referral needs.
  • Provide appropriate clinical information to specialist per referral guidelines.
  • Call patient with appointment information.
  • Document all stages of the referral in the appropriate database or in writing.
  • Demonstrate adaptability and accept change in a positive manner.
  • Keep current with corporate communications such as email and internal network.
  • Present and ready for work in designated area at assigned time and dressed in appropriate work attire.
  • Readily assist other staff members upon completion of assigned duties.
  • Understand and adhere to all departmental policies and procedures.
  • Complete and maintain all required training relative to job function.
  • Exemplify a strong adherence to the professional code of conduct.
  • Maintain a professional and positive attitude and demonstrate a supportive and understanding behavior when in contact with patients, providers, employees, and patients.
  • Follow all policies and procedures mandated by St. Joseph’s Physicians and the Government regarding HIPAA and OSHA.

  • Perform duties and assist providers as part of the practice care team.
  • Take part in daily team huddles and/or other periodic team meetings to facilitate communications and enhance positive patient experiences and quality delivery of care.
  • Participate in quality improvement initiatives as part of the practice care team.
  • Ensure job functions align with office policies and procedures and patient-centered medical home standards.
  • Perform other duties and responsibilities as required or requested.
