About The Position

Responsible for processing all patient referrals for specialty services. Follows center protocols for proper authorization and processing of all referrals. This role involves monitoring referral reports, ensuring accurate patient registration and clinical information is provided to specialists, and communicating referral details and appointment reminders to patients. The position also requires checking hospital systems for missing reports, following up on outstanding consult letters, and notifying physicians of missed appointments. The Referral Correspondent will also be responsible for interpreting as needed and must possess knowledge of various insurance rules and regulations as they relate to referral processes.

Requirements

  • High school diploma; sometimes combined with medical assistant certification.
  • Proficiency with computer, word processor, and spreadsheet programs.
  • Strong interpersonal skills needed.
  • Strong customer service focus.
  • Resourcefulness in problem solving.
  • Good telephone manner and ability to screen information that may be confidential.
  • Good organizational skills and the ability to prioritize daily workload.
  • Good judgment.
  • Effective verbal and written communication skills.
  • Teamwork orientation.
  • Some medical terminology helpful.
  • Able to take and follow through with delegated tasks and accountability.

Nice To Haves

  • Bilingual preferred.
  • Fluency in multiple languages strongly preferred.

Responsibilities

  • Monitoring all referral reports not received and timely follow up in accordance with BNHC policy and procedure.
  • Logging all correspondence, whether telephone or mail, within the EPIC tracking note system.
  • Ensuring complete and accurate registration, including patient demographic and current insurance information.
  • Assembling information concerning patient’s clinical background and referral needs, and providing appropriate clinical information to specialist per referral guidelines.
  • Reviewing details and expectations about the referral with patients.
  • Reminding patients of scheduled appointments via mail or phone.
  • Checking hospital computer systems for missing reports.
  • Calling specialist’s office for outstanding consult letter.
  • Notifying physician when patient fails to show for referral appointment.
  • Keeping Referral Supervisor, providers and other key support staff informed of problems and results.
  • Performing other duties as assigned by supervisor or department head.
  • Interpreting as needed.
  • Knowledge of various insurance rules and regulations and how they relate in the referral processes.
