About The Position

Health Sciences North (HSN) is seeking an individual passionate about recruitment and health care, to join our Human Resources team, as a temporary full-time Recruitment Administrator for ten (10) months. The Recruitment Administrator will work in a collaborative environment and be the main point of contact for managers and candidates as it relates to their employee life cycle at HSN. The successful individual will provide a high standard of administrative recruitment support for the organization, including overseeing the job posting process, candidate screening, as well as onboarding activities for new hires. The ideal candidate will have a minimum of a one (1) year diploma in Human Resources Management or Business Administration from an accredited college. We are looking for someone with a minimum of one (1) year experience working in an HR department within a unionized environment. The Recruitment Administrator will have a superior level of attention to detail, have the ability to work in a very fast paced environment, and be a strong team collaborator.

Requirements

  • Minimum of a one (1) year Diploma in Human Resources Management (HRM) or Business Administration, from an accredited college.
  • Ministry of Labour “Worker Health and Safety Awareness in 4 Steps” training certificate is required.
  • Minimum of one (1) year experience working in a HR department within a unionized environment.
  • Demonstrated knowledge of recruitment best practices.
  • Demonstrated ability to interpret and apply collective agreement language and employment legislation.
  • Demonstrated knowledge of work permit legislation and requirements.
  • Demonstrated communication skills for interaction with internal and external parties.
  • Demonstrated superior attention to detail with a high degree of accuracy.
  • Demonstrated excellent judgment and proven analytical skills.
  • Demonstrated training, experience or utilization of quality improvement methodology for process improvement.
  • Demonstrated ability to independently identify issues, plan improvements, measure success and continue improvement.
  • Demonstrated excellent computer skills with proficiency in Microsoft Office software (e.g. Word, Excel, Power Point and Outlook) and patient information systems.
  • Demonstrated superior interpersonal and communication skills, both written and verbal.
  • Demonstrated ability to manage routine correspondence, multiple tasks/projects, diversified workload and rapidly changing priorities and challenging deadlines.

Nice To Haves

  • Current Certificate as a Certified Human Resources Professional (CHRP) is preferred.
  • Recent experience working in a unionized environment within a Recruitment and/or Labour Relations (LR) field is preferred.
  • Recent experience working with Human Resources Information Systems is preferred.

Responsibilities

  • Provide informational and administrative support to the Human Resources (HR) department.
  • Provide direction and guidance to managers and employees regarding HR activities, policies, processes, and procedures.
  • Provide support to the recruitment function of HSN for all legal entities.
  • Prepare, manage, and provide job postings and posting results for all competitions within HSN.
  • Assist managers with the screening and selection of suitable candidates in accordance with collective agreement obligations and HSN policy to minimize risk with inaccurate hiring selections.
  • Provide guidance to managers with system navigation and identifying vacancies in organizational chart.
  • Validate employee movement in accordance with collective agreement and system requirements, and provide coaching to managers on proper application.
  • Manage and maintain various components of the HR and careers website.
  • Validate accuracy and ensure timely processing of all transactions noted in the HRIS (e.g MyHSN) and the HR Request System (HRRS).
  • Draft and print general forms, letters, reports, and memos as required.
  • Provide employees with letters and/or memos noting any changes in their employment in a timely manner.
  • Ensure compliance with collective agreements, policies, procedures, and applicable regulations; bring forward any deviations for review and remedy.
  • Advise and provide support to Managers with all transactional recruitment functions, and ensure proper assignment as required.
  • Provide and manage all new hires, including offers of employment, assessment of qualifications, collection of personal information, and respond to general inquiries.
  • Process hiring incentives (e.g. signing bonus, relocation, etc) and submit to Payroll and/or Accounts Payable for processing.
  • Ensure accurate and comprehensive maintenance of personnel records and documents.
  • Assist and provide support to Payroll personnel as required.
  • Compile and analyze various reports.
  • Participate in annual and ad hoc surveys as required.
  • Establish, review and revise processes and procedures related to recruitment.
  • Assist, screen, and direct in-person, telephone, and email inquiries.
  • Work collaboratively with Information Technology (IT), the HRIS team and Payroll to review, manage, and update recruitment databases and information systems as required.
  • Assist with HR employee and student orientation and training.
  • Assist in data collection for HR Business Partners for grievance preparation.
  • Facilitate New Leader Onboarding to provide an overview of recruitment at HSN.
  • Determine and align improvement projects with HSN’s Strategic Plan; monitor and adjust to achieve goal outcomes.
  • Participate in education and training specific to current, relevant federal and provincial health and safety legislation, standards and guidelines.
  • Educate and promote health, safety and wellness in the work place.
  • Represent the department or program on various committees and in meetings as required.
  • Perform other duties as required.
