Position Purpose Reporting to Heartland’s Director of Talent Acquisition Operations, the Recruiting Technology Specialist will play a pivotal role in supporting Heartland’s recruiting functions by owning troubleshooting, user support, regular system audits, configurations, and workflow management for all recruiting technology. Partnering closely with recruiting leadership, this role will deliver systems-level solutions to help execute on talent initiatives. This is a full-time remote role. Requirements

  • 3+ years of experience in talent acquisition, recruiting technology, or related HR functions required
  • Previous experience in ATS management as a system administrator/super user required, with experience specific to iCIMS strongly preferred
  • Proven ability to configure and optimize complex ATS workflows and manage system integrations
  • Experience managing vendor accounts and working directly with external partners
  • Excellent computer skills, including MS Office, Teams, PowerPoint, with the ability to identify and assess new technology tools
  • Familiarity with AI tools and proven ability to use AI effectively and ethically during the recruiting process
  • Demonstrated ability to generate and leverage talent data and predictive analytics to inform strategy and improve outcomes
  • Deep knowledge of talent acquisition best practices, recruiting processes, and data analysis
  • Knowledge of compliance requirements and data privacy regulations in talent acquisition and HR systems
  • Strong data analysis skills with the ability to translate metrics into actionable strategies
  • Excellent communication, presentation, and stakeholder management skills
  • Adept at managing competing priorities in fast-paced, evolving environments
  • Willingness to travel periodically to Heartland practices and industry events
  • Commitment to Heartland’s mission and values, including a passion for supporting veterinary teams

Nice To Haves

  • Previous experience working in the veterinary industry will be prioritized, but not required
  • Veterinary or human healthcare industry experience strongly preferred

Responsibilities

  • Collaborate with the Director of Talent Acquisition Operations to align recruiting technology and reporting processes with the organization’s talent acquisition goals
  • Serve as a subject matter expert for recruiting technology and job boards (including but not limited to iCIMS, Radancy, Criteria, Indeed, LinkedIn), providing guidance on system usage and best practices
  • Manage user accounts, permissions, and settings across all recruiting platforms
  • Act as the primary administrator for recruiting technology, handling configurations, workflows, and system enhancements to align with evolving recruitment needs
  • Implement and maintain recruiting system automations to reduce manual processes and improve efficiency
  • Monitor recruiting system performance, troubleshoot issues, and work with system support to resolve escalated concerns
  • Create, maintain, and deliver dashboards, reports, and presentations for KPIs, hiring metrics, and recruiter performance on a weekly, monthly, quarterly, and ad hoc basis
  • Analyze recruiting technology performance and trends and recommend improvements to technology investments and outreach/intake approach to enhance performance
  • Develop and distribute user guides, SOPs, and training materials for recruiting systems
  • Partner with recruiting-related vendors to explore new features and evaluate new tools
  • Conduct regular recruiting system audits, data cleanup, and reviews to ensure compliance with company policies and data privacy standards
