About The Position

Intra Management Solutions (IMS) is seeking an organized and detail-oriented Recruiting & Operations Coordinator to support our internal recruiting, onboarding, accounting and payroll, and business operations. This is an internal support position that works across several teams and reports to the Strategic Operations Manager. The coordinator will manage a variety of responsibilities and adapt to changing business priorities.

Requirements

At least 3 years of experience in recruiting coordination, administration, payroll support, or business operations.
Strong organizational skills, attention to detail, and reliable follow-through.
Professional written and verbal communication skills.
Strong proficiency with Microsoft Outlook, Word, and Excel.
Ability to manage competing priorities and handle confidential employee, payroll, and business information appropriately.

Nice To Haves

Experience in recruiting, HR, or staffing.
Experience with QuickBooks or similar accounting or payroll software.
Experience supporting website updates, newsletters, or other internal communications.

Responsibilities

Coordinate recruiting activities and candidate communications throughout the hiring process.
Assist with preparing candidate materials.
Maintain recruiting records and track candidate progress.
Maintain accurate candidate records and conduct outreach to prospective candidates.
Support recruiting documentation, calendars, and administrative processes.
Provide administrative support to the Accounting and Payroll teams.
Assist with entering and maintaining payroll-related records.
Support employee and consultant onboarding and related administrative coordination.
Assist with expense report reviews, follow up on discrepancies, and respond to related inquiries.
Assist with employee communications, recognition, and milestone tracking.
Support marketing and internal communication needs.
Help maintain operational records and trackers, coordinate meetings, and follow up on assigned items.
Provide administrative support across teams as internal needs and priorities require.
