About The Position

The Recruiting Coordinator supports the team during all phases of the recruitment process. This role supports processes in our applicant tracking system by managing job postings, candidate movement through the pipeline, background check initiation, offer delivery, and new hire welcome logistics. The Recruiting Coordinator will update team reports, ensure reporting on all position openings is up to date to enable the team to have clear understanding of hiring needs. This role will support administrative process for requesting job codes, position codes, scheduling, I-9 verifications, and contractor conversions. At times may also be assigned to recruit for open positions.

Requirements

  • Experience with Applicant Tracking Systems (ATS) and HRIS platforms.
  • Advanced Microsoft Office skills, particularly Excel, Outlook, Word, and PowerPoint.
  • Ability to create, maintain, and analyze recruiting reports and hiring metrics.
  • Experience managing spreadsheets, tracking documents, and reporting accuracy across multiple open positions.
  • Exceptional attention to detail with a high degree of accuracy in data entry, reporting, and documentation.
  • Strong written and verbal communication skills.
  • Ability to effectively coordinate interview scheduling across multiple stakeholders and calendars.
  • Ability to identify process gaps, recommend improvements, and drive operational efficiency.
  • Strong problem-solving skills and ability to exercise sound judgment.
  • Customer-service orientation with a passion for delivering a positive candidate experience.
  • Strong follow-through and ownership mentality.
  • Ability to handle sensitive situations with professionalism, discretion, and confidentiality.
  • 2+ years of experience in recruiting coordination, talent acquisition operations, human resources administration, or a related support role.
  • Experience supporting recruitment processes within an Applicant Tracking System (ATS).
  • Experience coordinating multiple priorities simultaneously in a fast-paced environment.
  • Experience handling confidential and sensitive employee and candidate information.

Responsibilities

  • Support all processes within our ADP applicant tracking system – including job postings, candidate movement through the pipeline, background check initiation, and offer delivery.
  • Maintain detailed recruiting team reporting for all open positions documenting external hires, internal transfers and/or promotions. Make continuous updates to the Open Position Tracker, enabling the team to have clear understanding of hiring progress and needs.
  • Complete all administrative processes for requesting job codes and position codes. If needed, submit appropriate Associate Statue Forms (ASFs)
  • Finalize I-9 identification verification process for all corporate new hires.
  • Administer contractor hiring processes – updating contractor contract agreements and initiating system setup.
  • Support sourcing, screening, and identifying applicants for review by recruiter and hiring manager.
  • Schedule interviews and create interview agendas.
  • Create Compensation Worksheet for all open positions. Provide to assigned recruiter and HRBP to ensure alignment on hiring range.
  • Once offer details have been determined, create Total Rewards Statement and provide to recruiter and HRBP, ensure final copy is shared with Compensation team.
  • Communication welcome resources and logistics to new hires and hiring managers.
  • Review pre-employment inquiry requests on all new hires; review provisional results with candidates and applicable HRBP.
  • Partner with Corporate FP&A team to ensure team has necessary information for corporate headcount and salary projections Including up to date information on open positions, resignations, anticipated hiring dates, and open position salary projections.
  • Manage Associate Referral Bonus payments; submits bonuses per policy for exempt and nonexempt hires.
  • Responsible for vendor set-up and invoice submission to Accounts Payable for all recruiting expenses; maintains an accurate spreadsheet for all Purchase Orders, vendor numbers and special blanket accounts.
  • As needed, may be assigned as primary recruiter for open positions. Will be responsible for full lifecycle of recruiting support.
  • As needed, manage any candidate logistics during in-person interviews (flight, hotel, itinerary). Prepare travel expense reimbursements for interviewing candidates; reconciles/documents and submitted expense reports.
