About The Position

Arena Intelligence is seeking its first Recruiting Coordinator to serve as the operational engine of the Talent Operations team. This role is crucial for Arena's competitive advantage in talent acquisition. The coordinator will manage the candidate pipeline, ensure a high-quality candidate experience, and build foundational recruiting operations. This position requires a highly motivated individual who thrives in fast-paced environments, enjoys solving complex operational challenges, and is eager to build scalable talent systems from scratch. The role is based in San Francisco and is in-office, with interviews and on-sites conducted at the office. The coordinator will be responsible for ensuring these processes run smoothly.

Requirements

  • Tech-Savvy: Highly proficient in modern tool stacks (e.g., Ashby / Greenhouse, Google Workspace, Slack, Notion, Prelude).

Nice To Haves

  • Prior experience at an early-stage / Series A–B venture-backed startup.
  • A keen interest in Artificial Intelligence, Machine Learning, and enterprise autonomy.
  • Experience building or iterating on interview rubrics, onboarding workflows, or talent analytics dashboards.

Responsibilities

  • Own end-to-end interview coordination across complex, multi-stage pipelines (technical challenges, deep-dive research panels, founder/executive interviews, and debriefs) with absolute precision.
  • Serve as the primary, high-touch liaison for candidates, ensuring a seamless, transparent, and memorable interview process for world-class researchers and engineers.
  • Partner directly with Arena’s founders and executive team to optimize their hiring bandwidth, protect their calendars, and hold hiring teams accountable to rapid feedback loops.
  • Help design, automate, and scale the talent tech stack, including ATS workflows (e.g., Ashby/Greenhouse), scheduling automation, candidate communications, and pipeline analytics.
  • Intervene in real-time when schedules break or urgent priorities collide, operating with sound judgment to find immediate solutions without waiting for step-by-step instructions.
  • Champion data integrity across all recruiting systems, tracking key pipeline metrics (conversion rates, time-to-schedule, candidate velocity) to uncover bottlenecks.
