Role Summary: The Recruiting Coordinator plays a critical role in ensuring Filevine delivers a smooth, timely, and high-quality hiring experience for both candidates and internal stakeholders. This role owns interview coordination, post-offer onboarding execution, and recruiting operations reporting, while supporting recruiters through sourcing, data accuracy, and process improvement. As Filevine continues to scale, this role is essential to keep hiring moving efficiently, ensuring clean and reliable data flows to Finance and leadership, improving hiring manager responsiveness, and strengthening our reputation as an employer of choice.

Requirements

  • 1–2 years of experience in recruiting coordination, HR operations, or administrative support
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • High attention to detail and commitment to data accuracy
  • Comfort scheduling across multiple calendars and time zones
  • Familiarity with ATS systems (Lever strongly preferred)
  • Experience with sourcing tools such as LinkedIn Recruiter and job boards
  • Proactive, solutions-oriented mindset with a desire to grow in recruiting or talent operations

Nice To Haves

  • Tech or SaaS experience preferred but not required

Responsibilities

  • Deliver seamless interview scheduling across time zones, serving as primary candidate contact for timely communication and positive experience.
  • Coordinate on-site interviews and ensure smooth execution.
  • Own post-offer onboarding, including background checks, Paylocity setup, and collaboration to avoid delays.
  • Maintain accurate Lever records, manage requisitions/headcount tracking, and handle data transfers/reporting for Finance and leadership (including weekly updates).
  • Partner with recruiters/hiring managers on logistics, feedback collection, and process accountability.
  • Support candidate sourcing via LinkedIn, job boards, and passive methods for hard-to-fill roles.
  • Provide temporary coverage for recruiting automation project (through Q1) and assist with process improvements, reporting enhancements, and employer branding.
