About The Position

The Recruiting Coordinator role is part of the Human Resources team that supports ETS’ mission through coordinating recruitment, candidate experience, onboarding, and hiring administration activities across the organization. This role serves as a key point of contact for candidates, hiring managers, and HR staff throughout the recruitment and onboarding lifecycle, in close partnership with the Sr. Recruiter/working closely with the Sr. Recruiter. This role makes a critical difference at ETS by ensuring an efficient, organized, and positive hiring experience while supporting timely staffing of critical positions. The Recruiting Coordinator manages job postings, applicant tracking activities, interview scheduling, offer administration, onboarding processes, compliance documentation, and workforce tracking systems. This position is part-time and paid for on a hourly basis. This position is non-exempt and is eligible for overtime pay. The position is hybrid with work generally performed Monday through Friday, 8:00 a.m. to 5:00 p.m., with flexibility based upon organizational needs. The position is hybrid with the on-site location based out of our Administrative offices location in Seattle.

Requirements

  • High school diploma or equivalent required.
  • Minimum of two (2) years of administrative, recruiting, human resources, or customer service experience required.
  • Have an understanding of racial justice and social equity and a commitment to helping create an equitable environment for all ETS clients and patients as well as fellow staff.
  • Ability to establish and maintain effective working relationships with clients, patients, and staff from a wide variety of ethnic, socioeconomic, and cultural backgrounds.
  • Ability to prioritize workload and daily activities and complete tasks in a timely and efficient manner
  • Ability to set boundaries, resolve conflict and de-escalate issues
  • Must be able to pass a Washington State Patrol criminal background check
  • Strong interpersonal skills and verbal/ written communication skills.

  • Ability to maintain confidentiality and use discretion when handling highly sensitive information.
  • Computer literate, with basic knowledge of Microsoft Office Suite (or equivalent suites such as Google Workspace), as well as a high level of initiative in keeping current with technological changes.
  • Skills needed include basic functions such as utilizing MS Outlook email and calendaring programs (or equivalent) and sending attachments, using MS Teams or equivalent chat, call, and videoconference features, and navigating search engines such as Edge or Google and carrying out browser searches and website benchmarking steps.

  • Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.

  • Ability to analyze and maintain recruitment and onboarding data, reports, and trackers.
  • The employee may be exposed to illicit drug residues and fumes or other bio-hazardous materials when carrying out job functions.
  • There is also potential for exposure to bloodborne pathogens.
  • The employee is regularly required to sit; use hands to finger, handle or feel objects, tools, or controls; reach with hands and arms and talk or hear; frequently required to stand, walk, and kneel; occasionally to climb balance, or stoop; rarely to crouch or crawl.
  • The employee must occasionally lift and/or move up to approximately 30 lbs.
  • Specific vision abilities required by this job include close, color, and peripheral vision and the ability to adjust focus.
  • The noise level in the work environment is moderate.

Nice To Haves

  • Associate's degree in Human Resources, Business Administration, or related field preferred.
  • Experience coordinating interviews, onboarding activities, or employment processes preferred.
  • An equivalent combination of education and experience may be considered.
  • Experience using Applicant Tracking Systems (ATS) and Human Resources Information Systems (HRIS) preferred.

Responsibilities

  • Post and maintain active job openings across recruiting platforms and internal systems.
  • Review incoming applications and support candidate screening processes.
  • Maintain active position reports and recruitment tracking metrics.
  • Coordinate candidate communications throughout the hiring process.
  • Ensure candidate records are accurately maintained within the applicant tracking system.
  • Schedule first-round interviews between candidates and hiring teams.
  • Coordinate second-round and panel interviews as needed.
  • Manage interview calendars and logistics.
  • Request and track interview feedback from hiring managers and interview team members.
  • Serve as the primary point of contact for scheduling-related candidate inquiries.
  • Prepare and send offer letters to selected candidates.
  • Coordinate offer approvals and documentation.
  • Facilitate communication during offer discussions and negotiation processes.
  • Ensure all pre-employment requirements are completed prior to hire.
  • Initiate background checks and monitor completion status.
  • Initiate onboarding packets and required employment documentation.
  • Complete onboarding tasks and coordinate new hire readiness activities.
  • Provide onboarding communications and support to new employees.
  • Coordinate New Hire Orientation acknowledgements and job description sign-off processes.
  • Maintain the New Hire Tracker and ensure compliance with onboarding requirements.
  • Maintain driver reporting and related employment records as required.
  • Ensure employment documentation is complete and accurately filed.
  • Support audits and reporting requests related to recruiting and onboarding activities.
  • Monitor compliance with organizational policies and hiring procedures.
  • Maintain confidentiality of candidate and employee information.
  • Participate in department meetings, training, and organizational initiatives.
  • Local travel on behalf of the agency may occasionally be required.
